Purchasing Coordinator / Order Processor

We are hiring a detail-oriented Purchasing Coordinator / Order Processor to support our wholesale promotional products and marketing business. This role is central to keeping customer orders, purchase orders, vendor communication, and inventory moving smoothly. You will process orders, coordinate with vendors and our sales team, support logistics, and maintain accurate records in a fast-paced environment. The ideal candidate is organized, comfortable with data entry and systems, and experienced (or eager to learn) in purchasing and order management. Key Responsibilities Process customer sales orders and purchase orders accurately and efficiently Enter and maintain data for items, sales orders, invoices, shipping, purchase orders, bills, customers, and vendors Correspond and follow up with vendors and the sales team on orders, quotes, and samples Review orders for completeness and accuracy and resolve discrepancies Negotiate pricing with suppliers to support cost-effective procurement Organize and monitor inventory, samples, and production status Coordinate incoming and outgoing shipments Communicate and negotiate with freight forwarders, customs brokers, factories, suppliers (domestic and overseas), and trucking companies Collaborate closely with sales, accounting, graphics, and production teams Research new products, obtain pricing/quotes, and help update price lists Qualifications 1+ years of experience in order processing, purchasing, procurement support, or a related role preferred Strong attention to detail and organizational skills Experience with purchase orders, vendor communication, and inventory tracking Proficiency with Google Workspace; QuickBooks experience is a plus (we will train a fast learner) Familiarity with promotional products, branding, or wholesale/sourcing environments is helpful Excellent written and verbal communication skills Ability to work collaboratively in a fast-paced sales-driven environment Knowledge of basic logistics and shipping processes preferred What We Offer Competitive pay based on experience $19–$26/hrplus bonus opportunities Health insurance Paid time off Employee discount Opportunities for growth within the company Job Type: Full-time, in-person Schedule: Monday–Friday, 8-hour shifts Job Type: Full-time Pay: $19.00 - $26.00 per hour Benefits: Employee discount Health insurance Paid time off Application Question(s): Type yes if you understand and accept the pay range indicated on the job profile Experience: Order Processing: 1 year (Preferred) Work Location: In person
