Purchasing Coordinator - Interior Design

Purchasing & Order Management Coordinator Carrie Long Interiors | Royal Oak, Michigan Full-Time Position Carrie Long Interiors is seeking a highly organized, detail-oriented, and proactive Purchasing & Order Management Coordinator to join our growing interior design firm. This position plays an essential role in bringing our design projects to life, ensuring that every approved furnishing, fixture, and accessory moves seamlessly from proposal approval through purchasing, receiving, and final delivery. Working closely with our design, furnishings, project management, and accounting teams, this individual will help maintain the exceptional level of service and attention to detail our clients expect. Key Responsibilities Purchasing & Vendor Coordination: Process approved client proposals into purchase orders, submit orders to vendors, and obtain and verify order acknowledgments for accuracy. Payment Processing: Coordinate vendor deposits, balance payments, and final payments while maintaining accurate purchasing records. Order Tracking: Monitor production schedules, lead times, shipping updates, and expected delivery dates. Proactively address delays or discrepancies. Receiving & Inspection Coordination: Communicate with receiving and warehouse teams to confirm product arrivals, inspections, damages, and any necessary claims or replacements. Client & Team Communication: Provide timely updates to the design and project management teams regarding order status, incoming merchandise, and delivery readiness. Billing Coordination: Ensure purchasing and receiving milestones trigger the appropriate client billing cycle, working closely with accounting to maintain accurate and timely invoicing. Project Support: Collaborate with Carrie, the furnishings and proposal teams, and project managers to keep projects organized, on schedule, and moving efficiently toward installation. Ideal Candidate Exceptionally organized with strong attention to detail. Experienced in purchasing, procurement, order management, or administrative operations; interior design industry experience preferred. Comfortable managing multiple projects, vendors, and deadlines simultaneously. Strong written and verbal communication skills. Proficient with purchasing and project management software; experience with Studio Designer and Asana is a plus. Proactive, accountable, and capable of identifying and resolving issues before they affect project timelines. Enjoys working collaboratively in a creative, fast-paced, high-end design environment.
