Purchasing Coordinator

POSITION SUMMARY The Purchasing Coordinator is responsible for supporting the procurement of raw materials, electronic components, and other goods and services necessary for the production and operations of Werbel Microwave LLC. This role works closely with engineering, production, and accounting teams to ensure timely delivery of materials at competitive pricing while maintaining quality standards and vendor relationships. KEY RESPONSIBILITIES Source, negotiate, and purchase electronic components, raw materials, hardware, and supplies required for manufacturing operations. Issue and manage purchase orders (POs) from creation through delivery and receipt confirmation. Monitor and track order status, proactively communicating with vendors to ensure on-time delivery. Maintain and update the vendor database; evaluate and qualify new suppliers as needed. Obtain and compare competitive quotes from multiple suppliers; conduct cost analysis to ensure best pricing and value. Coordinate with engineering and production teams to ensure material specifications and quantities meet project requirements. Review and process incoming invoices; resolve discrepancies with vendors and the accounting department. Manage inventory levels and assist with physical inventory counts. Maintain accurate purchasing records, documentation, and data in the ERP/MRP system. Identify opportunities to reduce costs, improve lead times, and strengthen supplier relationships. Ensure compliance with company purchasing policies and procedures. Support quality assurance by monitoring vendor performance and facilitating corrective actions when needed. Assist with expediting critical components to meet production schedules. Communicate effectively with internal stakeholders regarding order status, material availability, and lead times. QUALIFICATIONS Required Associate's or Bachelor's degree in Business, Supply Chain Management, Operations, or a related field; or equivalent work experience. 2+ years of purchasing, procurement, or supply chain experience, preferably in an electronics manufacturing or defense/aerospace environment. Familiarity with electronic components (resistors, capacitors, connectors, PCBs, RF/microwave parts, etc.). Proficiency with ERP/MRP systems (e.g., QuickBooks, SAP, NetSuite, or similar). Strong Microsoft Office skills, especially Excel (VLOOKUP, pivot tables, data tracking). Excellent organizational skills and the ability to manage multiple priorities simultaneously. Strong written and verbal communication skills. Detail-oriented with strong analytical and problem-solving abilities. Ability to work independently and collaborate effectively within a team environment. Preferred Experience purchasing RF, microwave, or defense-related electronic components. Familiarity with ITAR (International Traffic in Arms Regulations) compliance requirements. Experience with government or military procurement standards (MIL-SPEC, etc.). Certified Purchasing Professional (CPP) or APICS CSCP certification a plus. WORK ENVIRONMENT & PHYSICAL REQUIREMENTS Office-based with occasional warehouse floor access. Standard 40-hour work week; occasional overtime may be required to meet production deadlines. Ability to lift up to 20 lbs. occasionally.
