ML6 Search + Talent AdvisoryThe Opportunity: Our client is seeking an experienced Purchasing Coordinator to support the procurement and purchasing operations for a fast-paced residential homebuilding program in Ontario. This role is ideal for someone with residential construction experience who is highly organized, detail-oriented, and comfortable working with purchasing systems, budgets, contracts, and trade partners. What You'll Be Doing: Coordinate purchasing activities for residential construction projects, ensuring materials, trades, and services are procured accurately and in accordance with approved budgets and specifications. Set up new models, room measurements, sales information, and takeoffs in Newstar to support new lots and community releases. Maintain and continuously improve the Newstar product library, including standard specifications, upgrades, options, and pricing. Prepare, process, and issue purchase orders in Newstar, ensuring pricing and quantities align with contracts, budgets, and approved specifications. Issue and reconcile variance purchase orders, ensuring all changes are properly documented, approved, coded, and reflected in project costs. Review trade pricing, quotations, scopes, and contracts to ensure costs are accurate and aligned with purchasing requirements. Coordinate with trade partners and suppliers to obtain pricing, confirm availability, and resolve purchasing or cost-related discrepancies. Verify trade draw payments against purchase orders, contracted scopes, and completed work prior to payment approval. Review colour selections, upgrade charts, and homeowner options, validating pricing against contracts and the Newstar product library. Coordinate custom option pricing by obtaining trade quotations, reviewing costs with the Purchasing or Production Manager, applying appropriate markups, and ensuring accurate pricing is provided to the Décor Consultant in a timely manner. Maintain accurate purchasing records, vendor information, pricing, product specifications, and documentation within Newstar. Work closely with Site Supervisors and trade partners to ensure purchasing requirements align with construction schedules and site requirements. Respond to trade and supplier inquiries and assist with resolving purchasing, pricing, documentation, and production-related issues. Assist trade partners with navigating Newstar, company purchasing procedures, and required documentation workflows. Coordinate utility notifications for homeowner closings and ensure required homeowner information is accurately transferred at key milestones. Support the Purchasing/Production Manager with cost tracking, reporting, data maintenance, system updates, and process improvement initiatives. Identify opportunities to improve purchasing processes, pricing accuracy, vendor coordination, and overall procurement efficiency. What You'll Need to Be Successful: Minimum of 2 years of experience in residential construction, purchasing, procurement, production coordination, or a similar construction operations role. Experience working within the Ontario residential homebuilding industry is strongly preferred. College diploma or university degree in construction, business, purchasing, supply chain, or a related field is an asset. Previous Newstar experience is highly preferred, particularly with purchase orders, takeoffs, product libraries, variance purchase orders, and pricing. Candidates without direct Newstar experience must demonstrate the ability to quickly learn and effectively use complex construction and purchasing software. Strong understanding of residential construction processes, trades, materials, and purchasing requirements. Strong proficiency in Microsoft Excel and the Microsoft Office Suite. Exceptional attention to detail and a high level of accuracy when working with pricing, contracts, purchase orders, and project documentation.
