Purchasing Coordinator

Holtz Country Ranch is a family-operated agricultural and livestock operation in Western Kentucky focused on raising American Aberdeen cattle and supporting the day-to-day activities required to maintain an organized and productive ranch environment. As our operational needs continue to develop, we are seeking a dependable, organized, and detail-oriented Purchasing Coordinator to support purchasing, supplier communication, supply planning, inventory coordination, and general ranch operations. Position Overview The Purchasing Coordinator plays an important role in ensuring the supplies, materials, equipment, and operational resources needed for daily ranch activities are available when required. This position coordinates routine purchasing activities from initial supply request through ordering, delivery, and recordkeeping. Responsibilities may include obtaining pricing, communicating with suppliers, preparing and tracking orders, monitoring deliveries, maintaining purchasing records, and helping identify materials that need to be replenished. Purchases may include livestock feed and animal-care supplies, fencing and pasture materials, tools, maintenance products, agricultural supplies, equipment parts, safety items, and other resources used throughout ranch operations. The Purchasing Coordinator works closely with ranch personnel and suppliers to understand operational needs, compare available purchasing options, track outstanding orders, and help prevent unnecessary shortages or delays. The ideal candidate is organized, dependable, comfortable communicating with vendors, and able to manage multiple purchasing priorities accurately. Previous purchasing, procurement, agricultural, inventory, or administrative experience is helpful but not required. Training will be provided for the right candidate. Key Responsibilities Coordinate routine purchasing of supplies, materials, equipment, and other resources needed for ranch operations Receive and organize purchasing requests from ranch personnel Review requested items, quantities, specifications, and required delivery timelines before placing orders Purchase livestock feed, animal-care supplies, fencing materials, tools, maintenance products, equipment parts, and other operational supplies as needed Contact suppliers to request pricing, product information, availability, and estimated delivery dates Compare supplier quotes, product options, availability, and purchasing terms Assist with identifying appropriate suppliers for routine and specialized ranch needs Prepare, place, and track purchase orders or other purchasing requests according to established procedures Confirm order quantities, product descriptions, pricing, and delivery information before orders are finalized Communicate with vendors regarding order status, backorders, substitutions, shortages, and delivery changes Track outstanding purchases from order placement through receipt Follow up on delayed or incomplete orders when necessary Coordinate expected deliveries with appropriate ranch personnel Review received items against purchase information, packing slips, or invoices when required Help identify incorrect quantities, damaged materials, missing items, or other order discrepancies Work with suppliers to resolve routine order, delivery, return, replacement, or credit issues Maintain organized purchasing records, supplier information, quotes, order confirmations, and related documentation Update purchasing logs and basic tracking spreadsheets as needed Maintain current vendor contact information and commonly purchased item records Monitor frequently used supplies and help identify replenishment needs before inventory becomes critically low Coordinate with ranch personnel regarding feed, animal-care, maintenance, fencing, and operational supply requirements Help maintain appropriate availability of seasonal and frequently used materials Assist with sourcing replacement parts, tools, or supplies needed for routine equi…
