Under the general supervision of the Contracts & Procurement Supervisor, the Purchasing Clerk I is responsible for providing support in processing procurement transactions, maintaining accurate purchasing records, and assisting with vendor communications. This position plays a key role in ensuring timely and accurate purchasing of goods and services for the organization. The Purchasing Clerk I must work efficiently, maintain a high degree of attention to detail, and deliver consistent customer service to internal departments and external vendors. Essential Functions: Review and process requisitions submitted through the purchasing system, verifying account coding and approval status in accordance with company policies. Communicate with requestors to clarify or correct requisition details as needed, maintaining professionalism and accuracy. Place orders with approved vendors based on well-defined specifications; confirm pricing, availability, and delivery timelines. Coordinate with vendors to track order status and follow up on delays, partial shipments, or substitutions. Assist with vendor setup and updates, ensuring accurate ship-to locations and documentation of licensing information. Maintain current and accurate storage inventory records; assist with receiving and restocking of supplies and equipment. Process requisitions for equipment purchases and equipment repairs. Provide responsive, courteous service to internal requestors and external vendors. Perform purchasing-related administrative tasks, such as recordkeeping, document scanning, and data entry. Work quickly and efficiently while maintaining high attention to detail and minimizing errors. Demonstrate initiative in identifying routine procurement issues and recommending appropriate solutions. Must have the ability to prioritize responsibilities, work effectively, and multi-task in a fast-paced work environment. Knowledge and adapts to industry standards and familiarity of major suppliers, economic status of suppliers and the industry. Performs other duties as assigned. You'll be successful with the following qualifications: High School diploma or equivalent. Must be 18 years of age. Strong verbal, written and interpersonal skills. Ability to organize and prioritize work and meet deadlines. Experience with data entry or working in an enterprise software system (e.g., purchasing or financial system) is a plus. Competency in Microsoft Office Suite (Word, Excel, Outlook). One (1) year of experience in medical or healthcare purchasing preferred.
