Purchasing Clerk

Purchasing Clerk Summary/Objective The Purchasing Clerk will manage end-to-end procurement operations by reviewing order confirmations, liaising with suppliers for efficient order fulfillment, and updating internal databases for real-time visibility. Monitor order progress, track deliveries, and address any delays promptly. Ensure accurate entry of vendor bills, review reports for optimal stock levels, and collaborate with Warehouse staff to maintain product quality. Streamline the processing of Return Merchandise Authorization (RMAs) for Gofer aftermarket products and generate UPS return shipping labels as needed. Proactively address discrepancies, facilitate organized returns, and file shipping damage claims with UPS to enhance overall customer satisfaction. Conduct thorough reviews of order confirmations, meticulously verifying accuracy and promptly addressing any discrepancies. Proactively engage with suppliers to confirm or modify orders, maintaining open lines of communication to optimize order fulfillment. Update our internal database with comprehensive order details, including estimated ship dates and backorder statuses, to ensure real-time visibility and efficient management. Monitor the progress of orders, utilizing tracking systems to ensure on-time deliveries and promptly addressing any potential delays. Enter vendor bills accurately and in a timely manner, contributing to the seamless flow of financial transactions within the procurement process. Regularly review and act upon the Items to Order Report, Backorder Reports, and Open Purchase Order Report to maintain optimal inventory levels. Collaborate closely with Warehouse receiving staff, ensuring precise quantities are received, and products meet quality standards. Streamline the processing of Gofer aftermarket Return Merchandise Authorizations (RMAs), ensuring a meticulous and timely resolution of customer returns. Generate UPS return shipping labels when required, facilitating a smooth and organized return process for products. Demonstrate a proactive approach in filing shipping damage claims with UPS, ensuring swift resolution and enhancing overall customer satisfaction. Organizational Alignment This role reports to the Purchasing Manager. This position has no direct reports. Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary position; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bending or standing on a stool as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Position Type/Expected Hours of Work This is a full-time position. Hours of work are Monday through Friday 8:00AM to 4:30PM; 40 hours per week. Travel No travel is expected for this position.
