Responsibilities Assist in managing office purchasing activities, including vendor servicing, negotiations, and order processing using accounting and financial software such as QuickBooks. Coordinate distribution logistics to ensure timely delivery of supplies and materials across departments or locations. Oversee inventory management, including filing, record keeping, and tracking stock levels through spreadsheets and bookkeeping systems. Work together with members of management to ensure productivity and efficiency. Coordinate administrative tasks like calendar management, multi-line phone systems, and office organization to optimize workflow. Manage vendor relationships by evaluating performance, negotiating terms, and ensuring compliance with company policies. Facilitate communication with clients and internal teams via email, phone etiquette, and face-to-face interactions to ensure excellent customer service. Maintain office supplies inventory and ensure all equipment is functioning properly to support daily operations. Experience Proven experience in administrative or office in a professional setting. Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook) and advanced spreadsheet skills. Experience working with ERP software such as QuickBooks or similar with familiarity in quotations, purchase orders, packing slips, invoicing, inventory management. Prior office experience involving vendor management, scheduling management, and handling confidential information. Strong organizational skills with the ability to multitask effectively in a busy environment while maintaining attention to detail. Excellent communication skills-both verbal and written-and the ability to foster positive relationships with vendors, clients, and team members. Knowledge of event planning logistics and experience managing multi-faceted projects within an office setting are desirable assets. Pay based upon experience.
