Diversified Aero RepairWe are seeking a motivated and detail-oriented Entry-Level Purchasing Assistant to support the purchasing and material-control functions of our FAA-approved aircraft repair station. This position is an excellent opportunity for someone interested in beginning a career in the aviation industry. The Purchasing Assistant will help procure aircraft parts, materials, hardware, consumables, tooling, and outside services required to support aircraft component maintenance and repair operations. Because we operate in a regulated aviation environment, accuracy, organization, documentation, and attention to detail are essential. Training will be provided on our purchasing procedures, aviation documentation, material traceability, and applicable repair station requirements. Duties and Responsibilities The Purchasing Assistant will: Assist with purchasing aircraft parts, materials, standard hardware, consumables, tooling, supplies, and outside services. Obtain and document vendor quotations for requested materials and services. Prepare and issue purchase orders in accordance with company procedures. Follow up with vendors regarding quotations, order acknowledgments, delivery dates, backorders, and shipment status. Expedite critical material requirements to support production schedules. Assist in locating alternate sources when materials or parts are unavailable from established suppliers. Verify that purchase orders accurately identify required part numbers, descriptions, quantities, specifications, revisions, and applicable certification requirements. Ensure applicable traceability and certification requirements are communicated to suppliers at the time of purchase. Coordinate with Quality Control when questions arise regarding acceptable documentation, traceability, certification, or supplier approval. Purchase materials only from approved or otherwise authorized suppliers in accordance with company procedures. Maintain accurate purchasing records, quotations, purchase orders, order confirmations, and vendor correspondence. Assist with maintaining and updating supplier information and purchasing records. Communicate expected delivery dates and material shortages to Production, Quality, Stockroom, and Management. Coordinate with Shipping and Receiving regarding incoming materials and urgent deliveries. Assist in resolving discrepancies involving incorrect quantities, damaged materials, incorrect parts, missing certifications, or other receiving discrepancies. Coordinate returns, replacements, credits, and warranty claims with suppliers when necessary. Assist with inventory replenishment and minimum stock requirements for commonly used materials and hardware. Monitor open purchase orders and follow up on overdue items. Assist with purchasing-related data entry and administrative duties. Maintain organized electronic and/or hard-copy purchasing records. Follow company procedures relating to FAA Repair Station requirements, quality control, material traceability, and documentation. Maintain professional relationships with suppliers and service providers. Perform other purchasing, stockroom, and administrative support duties as assigned. Minimum Qualifications High school diploma or equivalent. Basic computer proficiency, including email, Microsoft Excel, and Microsoft Word. Strong organizational and communication skills. Ability to accurately enter and review part numbers, quantities, specifications, and other technical information. Strong attention to detail. Ability to manage multiple purchasing requests and priorities simultaneously. Ability to communicate professionally with vendors and internal departments. Dependable attendance and ability to work effectively as part of a team. Willingness to learn aviation purchasing, material traceability, and FAA Repair Station requirements.
