Purchasing Agent – Inventory & Shopify Operations

1TopTools / Hilltop Tool Rental LLC · Tomball, TX · On-site We’re looking for a highly organized, hands-on Purchasing Agent to work directly with the owner and manage orders across multiple vendors. We purchase tens of thousands of dollars in merchandise each week and regularly add new SKUs. Your primary responsibility is to track every purchase order from placement through receipt and make sure the owner, vendors, and internal teams know what’s arriving, what’s delayed, and who’s handling the next step. You’ll also play a key role in supporting sales. By working with the sales team and reviewing what customers buy and ask for, you’ll help us understand which products sell best, which industries and customer groups drive demand, and where we have opportunities to grow. Those insights will help guide what we stock, reorder, and promote. You’ll spend time at your desk managing orders and updating Shopify, and time on the warehouse floor checking inventory and product movement. The role may evolve as the business grows, with opportunities to take on more responsibility in purchasing, inventory operations, or e-commerce based on business needs and your strengths. What you’ll do Manage purchasing across multiple vendors. Work with the owner to confirm products, quantities, costs, and terms. Create purchase orders, obtain vendor confirmations, verify lead times, and follow up on backorders, partial shipments, shortages, and credits until they’re resolved. Keep a reliable record of every open order. Maintain a shared tracker that shows what was ordered, what’s due, what’s been received, what’s outstanding, and who owns the next step. Communicate changes early. Coordinate with the owner, sales, receiving, and shipping staff, as well as vendor reps and carriers. Flag delays, substitutions, and discrepancies promptly so everyone affected can plan around them. Build systems that close gaps. Identify where orders, information, or responsibilities get lost between teams. Put simple procedures in place to log partial receipts, assign follow-ups, and make sure new SKUs are set up in Shopify as merchandise arrives. Help sales understand what’s selling and where. Review sales history, Shopify reports, and feedback from the sales team to identify top sellers, slow movers, and products customers repeatedly request. Share which products perform well with different customer groups and recommend what to reorder, carry, or promote. Oversee warehouse inventory and product movement. Walk the warehouse regularly, verify incoming goods against purchase orders, and make sure outgoing shipments and customer pickups are reflected in inventory. Conduct weekly stock checks, investigate discrepancies, and flag low or excess stock. Maintain the Shopify catalog and website. Create and update product listings, including SKUs, descriptions, specs, photos, prices, variants, and inventory. Consolidate duplicate listings, organize collections, and keep product pages and online promotions current. Pitch in across the store. Help with labeling and organizing merchandise, staging customer orders, checking shipments, and other store or warehouse tasks as priorities shift. What you’ll bring Hands-on Shopify experience is required. You should be comfortable working in Shopify Admin with products, variants, SKUs, collections, pricing, and inventory. Website management and Google SEO experience are a major plus. Experience improving product and collection pages for organic search, writing page titles and meta descriptions, or using Google Search Console is especially valuable.
