Position Summary The Purchasing Agent supports the purchasing and procurement activities of Davila Homes' residential construction projects, ensuring materials and subcontractor services are competitively sourced, accurately ordered, and coordinated in accordance with approved plans, specifications, budgets, and construction schedules. Working collaboratively with Construction, Estimating, Design, Accounting, and Trade Partners, the Purchasing Agent supports cost control, purchasing accuracy, and vendor relationships while developing expertise in assigned purchasing categories. The ideal candidate will possess strong residential construction knowledge, excellent organizational and negotiation skills, attention to detail, and the ability to manage multiple purchasing priorities in a fast-paced homebuilding environment. Purchasing, Bidding & Procurement Coordinate bidding for new residential construction projects, including soliciting, reviewing, and comparing vendor and subcontractor proposals. Follow up on outstanding quotations and obtain revised bids. Review architectural plans, specifications, design selections, and option sheets to verify accuracy and completeness of material and service requirements. Prepare and review material takeoffs to determine quantities and purchasing needs. Prepare, issue, and process purchase orders for construction materials, labor, and subcontractor services. Coordinate material ordering, delivery scheduling, and returns to support construction timelines and minimize disruptions. Upload, organize, and maintain bids, pricing information, and purchasing records in Buildertrend. Vendor & Trade Partner Management Identify, evaluate, and assist with onboarding new vendors, suppliers, and trade partners. Develop and maintain productive working relationships with existing vendors and subcontractors. Review competitive bids and negotiate pricing, terms, and service agreements while maintaining company quality standards. Monitor vendor and supplier performance, including pricing, quality, reliability, responsiveness, and delivery commitments. Resolve purchasing-related issues with vendors, contractors, and suppliers in coordination with internal departments. Maintain accurate vendor information, pricing agreements, and scopes of work. Cost Management & Pricing Analysis Track material cost increases, pricing changes, and purchasing trends, preparing reports to support cost management and budgeting decisions. Review purchasing changes and variances, and identify opportunities for cost savings and purchasing efficiencies. Reconcile vendor invoices against purchase orders, agreed pricing, and supporting documentation, coordinating with Accounting to resolve discrepancies. Support value engineering initiatives and identify alternative materials or purchasing solutions when appropriate. Manage assigned purchasing categories, developing subject matter expertise in product specifications, supplier options, pricing, and market conditions. Construction Coordination & Administrative Support Collaborate with Construction, Estimating, Design, and Accounting to ensure purchasing activities align with project requirements and schedules. Communicate product availability, material substitutions, pricing changes, and potential procurement delays. Assist with resolving discrepancies between construction plans, approved selections, material orders, and vendor documentation.
