Responsibilities

  • Manage the purchasing of doors, materials, and related products required for operations.
  • Communicate with suppliers to obtain pricing, place orders, confirm deliveries, and follow up on outstanding orders.
  • Track purchase orders and ensure materials are received as required.
  • Prepare, process, and maintain packing slips for doors and materials entering and leaving the paint shop.
  • Verify packing slips against orders, quantities, door information, and other relevant documentation.
  • Ensure all doors and products moving through the paint shop are properly documented and tracked.
  • Manage all paperwork and documentation sent into and out of the paint shop.
  • Prepare and process paint shop work orders and related paperwork.
  • Ensure paperwork and packing slips are accurate, complete, and provided to the appropriate departments or customers.
  • Track the status of doors and materials throughout the purchasing and paint shop process.
  • Maintain organized electronic and paper filing systems.
  • Assist with inventory tracking and resolving discrepancies.
  • Follow up on missing paperwork, materials, deliveries, or purchase orders.
  • Coordinate with the paint shop, purchasing, production, shipping, and other departments to ensure information is accurate and communicated in a timely manner.
  • Provide administrative support to the purchasing and paint shop teams as required.
  • Track and manage purchase orders, delivery schedules for pickups and deliveries, and system reconciliation
  • Utilize and manage the Fenestration system to anticipate product demands, manage purchase orders, and monitor inventory levels.

 

Skills & Requirements

  • Previous experience in purchasing, administration, manufacturing, construction, or a production environment is an asset
  • Strong organizational and time-management skills
  • Excellent attention to detail and accuracy
  • Strong communication and follow-up skills
  • Comfortable working with purchase orders, packing slips, invoices, and production documentation.
  • Proficient with Microsoft Office, including Excel and Outlook
  • Experience with ERP, inventory, or purchasing software is an asset
  • Proven ability to work with minimal supervision, possesses self-starter qualities to work independently as well as collaboratively
  • Manage to work under pressure and with time sensitive deadlines
  • Proficient in using systems for inventory and procurement management along with MS Office applications
  • Ability to prioritize several concurrent tasks in a fast-paced environment
