This role serves as a vital bridge between our production floor and office operations. You will be responsible for keeping day-to-day administrative functions running smoothly, handling data entry for production metrics, tracking inventory, and supporting plant leadership. The ideal candidate is a self-starter with excellent time management skills and a high degree of attention to detail. Key Responsibilities Production & Operations Support Work Order Management: Create, issue, and track manufacturing work orders in line with the production schedule. Data Entry & Reporting: Compile daily shift paperwork and enter metrics (such as downtime, waste, and scrap) into the ERP system. KPI Tracking: Generate and distribute weekly and monthly productivity, labor variance, and budget reports for plant management. Document Control: Word process and maintain Standard Operating Procedures (SOPs), Job Safety Analysis (JSA) forms, and compliance training documents. Inventory & Procurement Assistance Purchase Orders: Generate and process purchase orders for raw materials, production tools, etc. Vendor Liaison: Communicate with suppliers to track order statuses, confirm delivery dates, and resolve shipment discrepancies. Supply Management: Maintain inventory for office supplies and safety/first-aid gear, ensuring the production team is fully equipped. General Administration & Compliance Meeting Logistics: Record minutes for weekly safety and production meetings and distribute them to the management team. Filing & Organization: Maintain centralized physical and digital filing systems for compliance audits, safety reports, and maintenance records. Front Office Support: Greet visitors, answer and route phone calls, and manage incoming/outgoing mail. Qualifications & Skills Technical Proficiency: Computer literate with excellent Microsoft Office skills (Outlook, Word, Excel) and experience using Job BOSS (or similar manufacturing ERP systems). Analytical Skills: Solid math and spreadsheet management capabilities for handling labor logs and production data. Communication: Excellent written and verbal communication skills to interact seamlessly with factory workers, vendors, and upper management. Adaptability: Ability to prioritize multi-layered tasks under tight schedules and maintain attention to detail in a loud or fast-moving plant setting. Physical Requirements: Ability to stand, bend, and occasionally lift up to 1-20 lbs. Willingness to occasionally step onto the production floor while wearing required Personal Protective Equipment (PPE). Education and Work Requirements Experience: 5 years of administrative experience, ideally within a manufacturing, warehousing, or industrial environment. Education: Associate’s degree in business administration, supply chain management, or a related field is preferred but not mandatory.
