Job Summary Reich Installation Services, Inc. is seeking a detail-oriented and organized Project Operations and Systems Coordinator to support the planning, coordination and execution of projects involving building automation systems, material handling systems, storage and rack systems, structures, and related installation projects. The projects Operations and Systems Coordinator works closely with Project Managers, field teams, customers, vendors, and suppliers, and internal stakeholders to keep projects organized, properly supplied, accurately documented, and on schedule. This position plays an important role in coordinating project information, systems, materials, equipment, deliveries, documentation, and communication throughout the life of a project. This is an onsite position based in our Pewaukee, WI headquarters. The role combines project coordination, administrative, systems, and operational responsibilities with hands-on warehouse and material support. The successful candidate should be comfortable moving between office responsibilities and warehouse activities as project needs require. Responsibilities & Duties Supports the planning and coordination of assigned projects involving building automation systems, material handling systems, storage and rack systems, structures, and related installation work. Maintain project scheduled, Gantt charts, milestones, task lists, and other project documentation. Monitor project progress, resources, tools, materials, equipment, and other project requirements to help keep projects on schedule and within budget. Maintain accurate and timely project information within company systems and project management platforms. Assist with the organization and maintenance of digital project files, records, documentation, and project data. Assist with project information and documentation within company software systems including Procore. Communicate regularly with Project Managers, customers, vendors, suppliers, field teams, and internal stakeholders regarding project requirements, timelines, deliveries, changes, and issues. Assist with purchase orders, change orders, proposals, project reports, invoices, and other project documentation as needed. Receive deliveries and verify materials and equipment against shipping documents and purchase orders, or other applicable records. Organize, package, label, and prepare tools, equipment, materials, and supplies for job sites. Assist with inventory management, and tracking of company tools, equipment, materials and supplies. Assist with improving and maintaining processes, workflows, documentation, and systems used to support project operations. Performs other duties as assigned. Experience & Requirements 1-3 years of experience in project coordination, construction, logistics, warehouse operations, or related field preferred. Procore experience is a plus. Familiarity with computer systems (MS Office, including Word, Excel, and Outlook, ADP is a plus) Experience working with project management, inventory, warehouse, or other business software systems is a plus. Strong attention to detail and ability to maintain accurate records and information. Ability to work effectively in both an office and warehouse environment. Ability to learn new and complex computer systems.
