The Role This is a combined project coordination and office operations role. Roughly two-thirds of your week is keeping retailer and brand projects moving — deadlines, documents, follow-ups — and the remaining third is keeping the office and its records running cleanly. It suits someone organized and self-directed who wants range rather than a narrow lane. Project Coordination Track retailer launch timelines end to end — item setup, purchase orders, shipping windows, in-store dates — and flag slipping dates before they become problems. Prepare and maintain project documents: purchase orders, line sheets, item setup forms, vendor and new-item forms, packing and compliance paperwork. Coordinate between U.S. retail partners, our Korea-based brand partners and internal logistics, following up until items actually close. Maintain project trackers and shared files so the team and outside partners are working from one current version. Schedule and prepare meetings across U.S. and Korea time zones; circulate agendas, notes and action items. Support sample requests and shipments to buyers, showrooms and trade events, including tracking and confirmation. Office & Administrative Operations Manage the shared company inbox and phone line, routing and responding as the first point of contact. Maintain organized digital filing for contracts, certificates, invoices and vendor records. Handle office supplies, shipping supplies, equipment and vendor accounts. Assist with expense records, invoices and basic bookkeeping handoffs to accounting. Support onboarding logistics for new team members and visiting partners, including travel and meeting arrangements. Assist the Managing Director with scheduling, correspondence and ad hoc business needs. What We're Looking For Required 2+ years in project coordination, office management, executive assistance or operations — ideally at a small company where you wore several hats. Strong written and verbal English; clear, professional communication with outside partners. Proficiency with Excel or Google Sheets, and comfort with document and file management tools. Proven ability to juggle multiple deadlines and follow up without being chased. Accuracy with detail — purchase orders, item data and compliance forms have to be right the first time. Authorized to work in the United States; able to work on-site. Preferred Korean / English bilingual — a significant advantage, as much of our brand-side communication is with partners in Korea. Experience in consumer goods, beauty, retail, distribution or import / export. Familiarity with retailer vendor portals or EDI (Target POL, SPS Commerce, STIBO or similar). Experience with purchase orders, inventory or logistics documentation. Experience coordinating with third-party logistics (3PL) and using order management (OMS) or warehouse management (WMS) systems. Compensation & Benefits Pay range: ($60,000 – $65,000 annualized), non-exempt and overtime eligible. Final compensation depends on experience, bilingual ability and demonstrated scope of prior responsibility. The range reflects current Los Angeles market pay for combined project coordination and office operations roles.
