Project Coordinator, Field Operations & Logistics

Overview Latium Technologies is seeking an experienced Project Coordinator to manage the daily scheduling, logistics, and follow-through of security system installations, mobile security trailer deployments, and service calls. You will coordinate technicians, equipment, transportation, and client requirements from sales handoff through job completion. Success in this role means technicians arrive with complete instructions and the correct equipment, clients know what to expect, and outstanding work is followed through to completion. This position requires practical experience coordinating field crews, service technicians, equipment deployments, or transportation. You should be comfortable managing several active jobs, resolving scheduling conflicts, and adjusting plans when urgent requests arise. Core Responsibilities Project Planning & Job Readiness ● Review sales handoffs and confirm the scope of work, client expectations, site requirements, and requested completion dates. ● Obtain missing information before scheduling, including site address, access instructions, on-site contact details, equipment requirements, and client authorization. ● Confirm equipment, materials, technicians, and transportation are available before committing to deployment dates. ● Identify potential delays, communicate their impact, and coordinate solutions with the appropriate teams. Technician Scheduling & Dispatch ● Manage schedules for installations, deployments, service calls, equipment pickups, and return visits. ● Assign technicians based on their skills, availability, location, and job requirements. ● Provide technicians with complete work orders, site information, contact details, and clear instructions before dispatch. ● Adjust schedules to accommodate emergencies, changing site conditions, and competing priorities. ● Track job progress and follow up on incomplete work, missed appointments, and outstanding requirements. Equipment & Transportation Logistics ● Coordinate the pickup, delivery, transfer, and return of mobile security trailers and other equipment. ● Review equipment availability across locations and select practical transportation options based on distance, cost, and delivery timelines. ● Arrange transportation with internal teams and external carriers, confirming pickup and delivery details. ● Maintain accurate records of equipment locations, scheduled movements, shipment status, and returns. Client & Internal Communication ● Serve as the main coordination contact for clients throughout scheduling and job execution. ● Confirm site readiness, access arrangements, appointment times, and client responsibilities. ● Keep clients and internal teams informed of schedule changes, delays, and next steps. ● Maintain clear handoffs between Sales, Purchasing & Inventory, Trailer Operations, field technicians, Support, and Accounting. ● Escalate issues requiring management decisions with a clear explanation of the issue and available options. Documentation & Job Closeout ● Maintain accurate schedules, service tickets, work orders, and project records in company systems. ● Collect completed service documentation, technician time entries, photos, parts information, and signatures where required. ● Confirm follow-up work is assigned and tracked through completion. ● Confirm equipment returns, transfers, or storage arrangements after job completion. ● Provide complete closeout information to the appropriate teams for billing and reporting. Required Qualifications ● At least three years of relevant experience in field service coordination, technician dispatch, construction coordination, equipment rental operations, transportation logistics, or a similar operational role. ● Demonstrated experience scheduling and coordinating multiple technicians or field crews across several active jobs. ● Experience arranging equipment deliveries, pickups, shipments, or transfers. ● Experience communicating directly with clients about scheduling, site requirement…
