Position Overview The Project Coordinator is a key operational role supporting TJL's landscape construction and installation division. This individual serves as the central point of coordination for installation projects from contract award through final walkthrough connecting project managers, field crews, vendors, nurseries, and clients. This person will manage project schedules, material procurement and deliveries, subcontractor coordination, and project documentation to ensure that landscape and hardscape installations are completed on time, on budget, and to TJL's quality standards across both commercial and residential projects. This role is ideal for a detail-oriented, organized professional with a landscape construction or nursery background who thrives on keeping multiple projects moving at once and takes pride in seeing a well-executed installation come together. Key Responsibilities Project Scheduling & Coordination Build and maintain schedules for landscape installation and hardscape projects, coordinating crew assignments, equipment, and timelines with the project manager Serve as the primary internal point of contact for active construction projects, tracking progress against milestones and flagging delays early Coordinate pre-construction meetings, site walks, and project handoffs from sales/estimating to operations Schedule and coordinate subcontractors (irrigation, lighting, grading, masonry) as required by project scope Materials & Vendor Management Prepare material take-offs and order lists for plant material, hardscape materials, soils, mulch, and installation supplies Source and order plant material from nurseries and growers; confirm availability, sizes, and substitutions with the project manager Schedule material deliveries to job sites and coordinate staging with crew leaders Reconcile vendor invoices and delivery tickets against purchase orders and project budgets Client & Field Communication Communicate with clients, general contractors, and property managers on schedules, site access, and project status Visit job sites to verify progress, confirm site conditions, document work with photos, and support quality control Relay scope details, plans, and changes clearly to crew leaders and field teams Coordinate punch lists, final walkthroughs, and warranty follow-up at project closeout Project Administration & Reporting Utilize Aspire (TJL's field operations platform) for project setup, scheduling, work tickets, purchase orders, and job costing Track change orders and ensure approved changes are documented and communicated to billing Maintain organized project files including contracts, plans, submittals, permits, delivery records, and photos Qualifications & Experience Required 2+ years of experience in landscape construction, nursery, or construction coordination Knowledge of plant material, hardscape materials, and landscape installation Strong organizational skills and t…
