Project Coordinator-Commercial Tenant Improvements
Totalplan Inc.The Role We're looking for an organized, proactive Project Coordinator to support our Project Managers from pre-construction through closeout. You'll be the one keeping documentation moving, subtrades informed, and details from slipping through the cracks. This is a great fit for someone early in their construction career who wants real exposure to how commercial projects get built, with a clear path toward Assistant PM or PM roles. What You'll Do Track and distribute RFIs, submittals, shop drawings, and change orders Prepare and issue meeting minutes, transmittals, and project correspondence Help build and update project schedules, and flag upcoming deadlines to the PM Coordinate with subtrades, suppliers, consultants, and building management on access, deliveries, and after-hours work Prepare purchase requisition/sub-contract for approval and assist with procurement of materials and services. Assist with tendering: sending bid packages, tracking responses, and levelling quotes Track permits and inspections with the City of Vancouver and other municipalities Maintain site safety documentation and WorkSafeBC paperwork alongside the site team Assemble closeout packages including deficiency lists, warranties, and O&M manuals Keep project files, drawings, and logs organized and current What You Bring 1–3 years of experience in construction, ideally commercial or TI (strong new grads considered) Diploma or degree in Construction Management, Architectural Technology, Civil Engineering, or a related field, or equivalent experience Comfort reading construction drawings and specifications Strong organizational skills and attention to detail Clear, professional written and verbal communication Proficiency in Microsoft Office (Excel and Outlook especially) Ability to juggle multiple projects and shifting priorities Nice to Have Experience with Sage 300CRE or similar construction management software Familiarity with Bluebeam, MS Project, or estimating tools Valid BC driver's licence and reliable vehicle for occasional site visits What We Offer Competitive salary and extended health and dental benefits 3 weeks vacation days / other perks] Mentorship from experienced PMs and a real path to advancement A tight-knit team with a long local track record Central downtown office, close to transit How to Apply Send your resume and a short cover letter to [email] with "Project Coordinator" in the subject line.
