Project Coordinator
Riverside Millwork GroupJOB STATEMENT: Acts as the internal organizer for an assigned Field Operations Manager’s major-project portfolio from accepted handoff through closeout. The PC maintains the controlled project record, order entry, submittals, material/production status, internal follow-up, delivery coordination, billing support and closeout administration so the FOM can focus on customer and field execution. ESSENTIAL FUNCTIONS: Project Setup & Information Control · Participate in formal Stage 6 handoff and confirm receipt of the turnover package. · Set up/maintain the project in Seradex and controlled project systems; convert approved scope to sales orders as required. · Maintain current project status, required-by dates, contacts, submittal logs, change logs and open-action lists. · Identify missing information and drive internal follow-up to closure. Procurement, Production & Delivery Coordination · Communicate complete specifications and required dates to Purchasing, Manufacturing, Warehouse and other internal teams. · Track material, submittal, production and delivery status against the master schedule. · Coordinate delivery details with the FOM and Project Execution Manager; keep ship/delivery dates current. · Escalate risks early rather than waiting for missed milestones. Commercial Administration · Ensure payment/documentation requirements are satisfied before procurement/production where applicable. · Maintain change-order documentation and support pricing/authorization workflow; do not authorize scope changes independently. · Provide Finance with invoice-ready orders and supporting documentation promptly. · Support closeout, deficiency documentation and final project record completion. FOM + PC Operating Pair · Serve as the dedicated internal counterpart to the assigned FOM portfolio. · FOM owns customer/site/field execution; PC owns internal organization and follow-through. · Participate in weekly project execution reviews and maintain accurate status information. JOB SPECIFICATIONS:Education / Experience · Relevant construction, building materials, architectural technology, business or equivalent practical experience appropriate to the role. · Working knowledge of construction workflows, schedules and documentation relevant to the role. · Experience with ERP/project systems; Seradex experience is an asset.
