Summary: Reporting to the President, the Project Coordinator works closely with Project Managers, field personnel, clients, subcontractors, suppliers, and consulting representatives to help ensure construction projects are organized, communicated, and executed efficiently. Serving as a key liaison between the field and office, this position supports the planning, coordination, and delivery of underground utility, trenchless, earthworks, pipeline, and road construction projects. Responsibilities include project documentation, scheduling, procurement, cost tracking, reporting, field coordination, and day-to-day project support. The Project Coordinator plays an important role in successful project delivery by maintaining accurate records, facilitating communication among stakeholders, monitoring project progress, and helping ensure projects are completed safely, on schedule, and within budget. Duties & Responsibilities: Project Coordination & Administration: Support Project Managers with the planning, execution, and closeout of construction projects. Coordinate communication between field personnel, clients, consultants, subcontractors, suppliers, and regulatory stakeholders. Prepare, distribute, and maintain project documentation, including contracts, purchase orders, submittals, RFIs, change orders, meeting minutes, and correspondence. Track project milestones, action items, deliverables, and deficiencies to support timely project completion. Assist with permits, approvals, and regulatory documentation required for project execution. Scheduling & Resource Coordination: Assist with the development and maintenance of project schedules. Monitor project progress and identify potential delays, conflicts, or resource constraints. Coordinate labour, equipment, materials, and subcontractor requirements to support project activities. Maintain regular communication with field personnel regarding project status and operational requirements. Support project mobilization and demobilization activities. Procurement & Cost Management: Obtain quotes and coordinate the procurement of materials, equipment, and subcontracted services. Track purchase orders, material deliveries, invoices, and project expenditures. Assist with change order administration, cost tracking, progress billings, and project reporting. Support Project Managers with budget monitoring and forecasting activities. Reporting & Document Control: Maintain organized and accurate project records in company systems. Track RFIs, change orders, permits, submittals, and project correspondence. Prepare project reports, progress updates, and other documentation required by clients and management. Assist with project turnover and closeout documentation. Quality, Safety & Compliance Support: Support compliance with contract requirements, company policies, safety programs, and regulatory obligations. Participate in site visits as required to monitor project progress and gather project information. Assist with identifying project risks, deficiencies, and corrective actions. Promote and support In-Line Contracting Ltd.'s commitment to safety and continuous improvement. Client & Stakeholder Relations: Attend project meetings and prepare meeting minutes and action item summaries. Respond to routine project inquiries and assist in resolving project issues.
