General Scope of Position The Production Planning Assistant provides administrative and floor-level support for the Kansas City production planning process. The position prepares and distributes production orders and supporting documentation, maintains routine order information in the ERP system, and follows up on the details needed for orders to move through production. The position works under the direction of the Production Manager and supports production supervision, Purchasing, Warehouse, and Engineering as needed. Decisions regarding production priorities, capacity, lead times, and delivery commitments remain with the Production Manager. Position Requirement Experience in production administration, order processing, planning support, or a related manufacturing role preferred. Experience using an ERP system and proficiency with Microsoft Office applications required; experience with Infor LN preferred. Strong attention to detail and organizational skills, including the ability to maintain accurate records and follow up on multiple open items. Clear written and verbal communication skills and the ability to work with production personnel and other departments. Ability to work in both office and production environments and handle production documents and materials as needed. Position Responsibilities Sefar employees are responsible for the quality of their work through understanding and fulfilling our customers’ requirements. A. Production Order Preparation Print, collate, review, and distribute production orders, routers, drawings, labels, and other required documentation. Check order packets for completeness and identify missing documents, material concerns, or apparent system discrepancies before release to the production floor. Coordinate routine material allocation and staging details with the warehouse according to established priorities and direction from the Production Manager. Maintain organized production paperwork and records and ensure updated information is available to the appropriate production personnel. B. ERP and Administrative Support Complete approved production-order updates, date changes, material allocations, and routine data corrections in Infor LN. Review system and paperwork details for accuracy; correct straightforward administrative issues within established instructions. Track open issues, order changes, and missing information; follow up with the responsible department and elevate matters requiring a production or technical decision. Compile routine order-status information and reports to support scheduling discussions and production communication. C. Communication Communicate order-preparation status and routine issues to the Production Manager and production supervisors. Refer priority changes, capacity conflicts, material substitutions, routing or bill-of-material questions, and delivery commitments to the appropriate decision maker. D. Other Complete special assignments as required by management.
