We’re a small, collaborative team with a thoughtful, highly detailed approach to residential design. As LHF grows, we’re bringing procurement in-house and looking for someone who can help strengthen the systems behind our projects and day-to-day operations. About the Role The Procurement & Studio Coordinator manages the operational side of our projects from approved selections through construction, delivery and installation. You’ll oversee purchasing, vendor coordination, order tracking, freight and receiving while also supporting project schedules, budgets, billing and general operations. You’ll work closely with the Principal and design team and serve as the primary point of contact for many of our vendors, workrooms, fabricators and receiving partners. This is an operations and procurement role, not a junior interior design position or a pathway into design. It’s best suited to someone who enjoys organization, logistics and problem-solving and is comfortable managing many moving pieces at once. Responsibilities Procurement & Project Coordination Manage purchasing and procurement in Studio Designer from approved selection through delivery and installation Obtain and verify vendor quotes, pricing, freight, lead times and specifications Prepare purchase orders for Principal approval and place orders once client funds have cleared Review order acknowledgments and track production, shipping, COM/CFA requirements and delivery status Coordinate furnishings, fixtures, finishes and construction-related materials Coordinate freight, receiving, storage, delivery and installation Resolve damages, returns, discrepancies, backorders and warranty claims Serve as the primary contact for vendors, workrooms, fabricators, warehouses and delivery partners Maintain accurate project and order information in Studio Designer Prepare the weekly procurement report and lead the weekly procurement meeting Support project schedules and construction/install coordination Billing & Project Operations Collect weekly time entries and prepare time reports Prepare monthly client invoices for Principal approval and follow up on open balances Track client deposits and reconcile vendor invoices against approved purchase orders Set up new projects and maintain project schedules, FF&E schedules, installation calendars and Asana Maintain project budget trackers and flag changes to the design team Record meeting notes and action items Assist with proposals, presentation documents and project closeout Studio Operations Maintain the materials and sample library and track samples, CFAs and memos Receive packages and manage supplies and vendor paperwork Coordinate client meetings and site visits Run occasional local showroom, client and job-site errands Support installations and styling days, including light lifting Assist with photography and social media content as needed Qualifications 3+ years of experience in procurement, purchasing, project coordination or studio operations; residential interior design experience strongly preferred Experience with Studio Designer or a comparable procurement/project management platform Familiarity with custom furnishings, lighting, fabrics, rugs, window treatments and workroom processes Understanding of freight, receiving and installation logistics Comfortable managing purchase orders, vendor payments and client billing with accuracy and discretion Strong Excel and Word skills; Canva experience is a plus Excellent organization, attention to detail and follow-through Strong written and verbal communication skills Able to prioritize and manage multiple active projects and orders Reliable transportation, valid …
