Procurement Specialist POSITION SUMMARY The Procurement Specialist supports Knight Facilities Management’s facility operations by coordinating the sourcing, purchasing, and management of goods and services required to support client locations. This role works closely with operations, account leadership, vendors, and suppliers to ensure services and materials are obtained efficiently, competitively, and in accordance with contractual and operational requirements. The Procurement Specialist will help maintain strong supplier relationships, identify cost-saving opportunities, support vendor performance, and ensure purchasing activities align with client expectations and company standards. ESSENTIAL DUTIES AND RESPONSIBILITIES • Coordinate procurement activities for facility services, equipment, materials, supplies, and subcontracted services. • Source and evaluate vendors based on cost, service capabilities, quality, responsiveness, geographic coverage, and operational requirements. • Obtain and evaluate quotes and proposals to support competitive purchasing decisions. • Assist with vendor negotiations, pricing agreements, service terms, and purchasing arrangements. • Create, process, and track purchase orders and procurement requests. • Maintain accurate vendor, pricing, purchasing, and contract documentation. • Partner with facility management and account teams to anticipate purchasing needs and avoid service disruptions. • Monitor vendor performance and escalate recurring service, quality, pricing, or delivery concerns. • Support vendor onboarding and ensure required documentation is collected and maintained. • Track contract expiration dates, pricing changes, renewals, and other procurement-related deadlines. • Identify opportunities for vendor consolidation, cost reduction, standardization, and process improvement. • Review purchasing activity and spend data to identify trends and opportunities. • Assist with invoice discrepancies and coordinate with operations, vendors, and finance as needed. • Support emergency or time-sensitive purchasing needs for facility operations. • Ensure procurement practices align with company policies, client requirements, contractual obligations, and applicable compliance standards. • Prepare procurement reports and provide updates to account and operational leadership. QUALIFICATIONS • Bachelor’s degree in Business, Supply Chain, Procurement, Facilities Management, or a related field preferred. • Previous procurement, purchasing, vendor management, facilities management, or related experience preferred. • Experience working in a multi-site or service-based environment is strongly preferred. • Strong negotiation, organization, and vendor-management skills. • Ability to manage multiple priorities and deadlines in a fast-paced environment. • Strong analytical skills and attention to detail. • Proficiency with Microsoft Excel and other reporting and business systems. • Strong written and verbal communication skills. • Ability to collaborate effectively with vendors, clients, operations teams, and leadership. ANNUAL SALARY: $90,000-100,000
