Position Summary Under the direction of the Purchasing Manager, the Procurement Specialist is responsible for analyzing sales forecasts, inventory levels, ordering parameters, sales team requests, product movement, lead times, and other relevant information to determine appropriate inventory purchasing quantities and timing. This position exercises judgment in making purchasing decisions to maintain appropriate inventory levels while supporting sales and customer needs. The Procurement Specialist creates and manages purchase orders, monitors open orders, coordinates with manufacturers and internal departments, and identifies and resolves purchasing, inventory, receiving, and freight-related issues. Success in this role requires strong analytical and organizational skills, attention to detail, effective communication, and the ability to develop sound purchasing judgment and product and inventory knowledge. Key Responsibilities Analyze sales forecasts, inventory levels, sales requests, lead times, product movement, and ordering parameters to determine appropriate purchase quantities and timing. Exercise judgment in making purchasing decisions that balance product availability, anticipated demand, and inventory levels. Create, issue, and manage purchase orders and verify quantities, pricing, and delivery information. Monitor open orders and adjust quantities or timing based on changes in demand, inventory, or product availability. Communicate with manufacturers and internal Sales, Warehouse, Receiving, and Supply Chain teams regarding orders, inventory needs, delays, and discrepancies. Identify and address potential shortages, excess inventory, supply disruptions, and other purchasing concerns. Research and resolve purchasing, receiving, freight, pricing, and inventory discrepancies. Process manufacturer and freight claims, billbacks, and purchase order/invoice discrepancies as needed. Maintain accurate purchasing records, manufacturer documentation, and purchase order files. Develop strong product, inventory, and vendor knowledge to support effective purchasing decisions and continuous improvement. Support process improvements related to purchasing, inventory, and order-to-receipt workflows. Perform other related duties as assigned. Qualifications Required High school diploma, GED, or equivalent. Working knowledge of Microsoft Excel and spreadsheets. Strong analytical, organizational, and problem-solving skills. Strong attention to detail and ability to manage multiple priorities and deadlines. Effective written and verbal communication skills. Ability to work independently, exercise sound judgment, and collaborate effectively across departments. Preferred 1–3 years of experience in purchasing, procurement, inventory management, supply chain, or a related field. Experience with demand forecasting, inventory planning, or purchasing systems. Warehouse or inventory management experience. Experience with vendor, freight, claim, or discrepancy resolution. Coursework or additional education in purchasing, supply chain, logistics, inventory management, business, or a related field. Work Environment & Physical Requirements Work is performed primarily in an office environment located within a warehouse facility. Regular use of computers and standard office equipment is required. Periodic work in warehouse, receiving, or dock areas may be required to coordinate with operational personnel.
