Purpose: Avelo Airlines is seeking a Procurement Specialist to support day-to-day sourcing and procurement activities across the organization. This role works closely with the Manager of Airline Sourcing and other departments to help manage vendor relationships, analyze airport and equipment costs, coordinate purchasing activities, and support contract administration.


This role is best suited for someone who performs well in a fast-paced environment, can manage multiple priorities at once, and is comfortable operating without a high level of existing structure. Daily work is operationally driven and often time-sensitive, requiring strong ownership, and follow-through. 


Responsibilities:


1. Vendor & Contract Support

  • Assist in the preparation of RFPs and the collection of vendor data for ground handling, intoplane, deicing, wheelchair, and other airport services.
  • Support contract negotiation processes by compiling pricing comparisons and vendor performance data.
  • Track contract terms, renewal dates, and deliverables.
  • Work with other departments to collect vendor feedback and track performance.

2. Ground Support Equipment (GSE) Coordination

  • Coordinate and support equipment lease and purchase agreements.
  • Track shipments, deliveries, and commissioning of GSE at stations.
  • Support GSE inventory audits and maintain accurate location records.
  • Coordinate on maintenance scheduling and vendor oversight with Technical Operations.

3. Analysis & Reporting

  • Gather and analyze airport cost data to support budgeting and vendor decisions.
  • Prepare financial and operational analysis for procurement activities.
  • Track savings and efficiency gains.

4. General Procurement Functions & Billing Support

  • Maintain organized contract files and procurement documentation.
  • Assist with procurement, vendor onboarding, and other sourcing needs.
  • Set up purchase orders (POs) in procurement systems
  • Review vendor invoices for accuracy, pricing, and contract compliance prior to approval
  • Resolve billing discrepancies with vendors and internal partners

5. Inventory Management & Project Ownership

  • Support and progressively take ownership of inventory-related projects, including supply list standardization, inventory tracking, and ordering workflows.
  • Maintain current inventory management processes.
  • Partner with departments to ensure inventory levels, specifications, and pack sizes align with operational needs.
  • Identify recurring inventory-related issues and implement practical process improvements
Requirements
  • Bachelor’s degree in business, Supply Chain or related field preferred or equivalent work experience.
  • 0-3 years of experience in procurement, sourcing, supply chain, or related internships, projects, or coursework - We welcome new grads with a strong interest in procurement and operations!
  • Strong organizational and communication skills.
  • Proficiency in Excel and analytical tools; experience with procurement systems a plus.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
