SUMMARY
The Procurement Relationship Coordinator is responsible for supporting the organization's food acquisition goals by actively identifying, recruiting, and securing new sources of food donations. This role involves significant time spent in the field making direct contact with potential donors, building foundational relationships, and ensuring all interactions and follow-up tasks are meticulously documented. The Coordinator works closely with the Agency Relations team to maintain and enhance overall donor satisfaction and agency interactions.
DUTIES and RESPONSIBILITIES

Donor Identification & Recruitment:
- Spend significant time on the road, actively seeking out and engaging new food donation sources across the region.
- Prospect new donors by utilizing various research methods, including searching online resources (e.g., Google Maps), monitoring corporate announcements, and leveraging existing standing relationships.
- Focus recruitment efforts on key industry sectors including distribution centers, retail stores, farms, ranches, and manufacturing facilities.
- Present the organization's mission and the benefits of food donation to prospective new donors.
- Work directly with potential donors to sign on and formalize initial donation commitments.
Donor Relationship Support & Problem Resolution:
- Support regular visits to newly signed food donors as well as existing donors to maintain strong relations and enhance consistent donation frequency and quality.
- Collaborate closely with the Agency Relations team to promptly identify and solve any logistical or relationship issues related to food donors, ensuring a positive donor experience.
Documentation & Task Management:
- Document all donor and prospect interactions, communications, and relevant data accurately and in a timely manner within the CRM system (SalesForce).
- Utilize and maintain follow-on tasks, next steps, and project assignments within the project management tool (Asana).
- Assist the Procurement Relationship Manager with gathering data for weekly or monthly reports related to new donor acquisition.
Internal Collaboration:
- Coordinate with the Procurement Relationship Manager and other Operations staff to ensure seamless integration of new donors into the logistics and transportation schedule.
- Communicate information regarding product handling, restrictions, or recalls from donors to the appropriate internal teams.

EDUCATION and/or EXPERIENCE
- Excel working in a fast-paced, evolving environment and demonstrate the ability to embrace the FTB’s commitment to treat all people with equity and respect in pursuit of our mission to feed people in need and mobilize our community to eliminate hunger
- A high school diploma or equivalent is required. A college degree (Associate's or Bachelor's) is desirable but not required.
- Prior experience in sales, business development, or recruiting is highly desirable.
- Fluency in Spanish (speaking, reading, and writing) is highly desirable to effectively communicate with diverse business partners.
- Skills:
- Strong interpersonal and communication skills, with an emphasis on face-to-face interaction and cold calling.
- Self-starter with a proactive approach to time management and working independently in the field.
- Detail-oriented and proficient in using customer relationship management (CRM) and project management software (e.g., SalesForce, Asana).
- Excellent presentation and communication skills
- Strong written, analytical, and organizational skills.
- Ability to travel, a current valid driver’s license and access to a personal vehicle.
- Ability to work independently and collaboratively.
- Strong team player and peer relationships.
- Willing to actively participate in mission-driven programs, such as food distribution initiatives and disaster relief operations as needed.
