GTN Technical StaffingProcurement Associate – Mechanical Equipment Location: Irving, TX Work Arrangement: Hybrid, 3 days onsite / 2 days remote Compensation: Base salary + bonus Overview Our client is seeking a Procurement Associate – Mechanical Equipment to support purchasing and equipment delivery for a large-scale data center construction program. This hands-on role manages purchase orders, supplier coordination, and delivery tracking for mechanical and plumbing equipment purchased through an Owner-Furnished, Contractor-Installed (OFCI) model. Reporting to the Director of Procurement – Mechanical, this individual will work closely with procurement category leads, equipment suppliers, engineering teams, and EPC partners to keep purchasing activities aligned with construction milestones. The ideal candidate brings direct mechanical equipment buying experience, strong attention to detail, and the ability to manage multiple suppliers and open purchase orders in a fast-moving project environment. Key Responsibilities Issue and administer purchase orders for mechanical equipment, including chillers, cooling towers, CRAH units, fan wall systems, pumps, piping, valves, and variable frequency drives (VFDs) . Support sourcing activities by preparing requests for quotation, comparing supplier bids, and coordinating communications through contract award. Expedite long-lead equipment, monitor production and shipping milestones, and escalate delays that could affect construction schedules. Coordinate delivery logistics with EPC partners and site teams, including freight, delivery sequencing, offloading, laydown requirements, and receiving documentation. Manage the purchase order lifecycle within the ERP system, including changes, milestone payments, invoice discrepancies, and closeout. Track vendor submittals, drawing approvals, and factory acceptance and witness testing schedules. Coordinate documentation and approvals among suppliers, engineering, and construction teams. Support resolution of equipment shortages, shipping damage, and warranty claims with suppliers and freight carriers. Maintain accurate supplier records, pricing history, lead times, and purchasing status reports. Contribute to supplier performance tracking and scorecards. Required Qualifications 4–6 years of direct procurement experience purchasing capital equipment, engineered systems, or construction materials. Hands-on buying experience with mechanical equipment , such as chillers, cooling towers, air-handling units, pumps, or HVAC packages. Working knowledge of the procure-to-pay process and ERP-based purchasing. Experience managing long-lead equipment, supplier follow-up, and delivery risks. Understanding of commercial purchasing terms, including Incoterms, freight terms, payment milestones, and warranties . Strong Excel skills and the ability to maintain accurate records across a large portfolio of open purchase orders. Strong organizational, communication, and supplier coordination skills. Bachelor’s degree in supply chain management, engineering, construction management, business, or equivalent experience. Preferred Qualifications Procurement experience supporting data centers, mission-critical facilities, semiconductor facilities, or heavy industrial construction . Familiarity with OFCI and Contractor-Furnished, Contractor-Installed (CFCI) delivery models. Experience coordinating with EPC contractors or general contractors. Exposure to factory acceptance testing and factory witness testing. Ability to interpret mechanical equipment schedules, specifications, and submittals. Experience with Microsoft Dynamics 365, Coupa, or comparable purchasing systems . Relevant certifications, including APICS/ASCM CPIM or CSCP, or ISM CPSM .
