This is a full-time, fully in-person/in-office (Woodley Park-Zoo/Adams Morgan area) position, classified as exempt under the Fair Labor Standards Act (FLSA). SUMMARY This job posting is on behalf of an Arc Human Capital, LLC client. Our client, a boutique residential interior design firm in Washington, D.C., is "where classic and modern hang out and drink gin." Their work is guided by five core values: Precision, Professionalism, Quality, Kindness, and Joy. As a small, hard-working, enthusiastic team, they are excited to welcome the right person. THE ROLE The Procurement and Operations Manager owns the behind-the-scenes systems that make their design work possible. You'll take every piece of custom furniture, lighting, fabric, wallcovering, and artwork from approved design to installed in a client's home, and you'll keep the studio's billing, records, and day-to-day operations running smoothly. This is a hands-on role for a proactive problem-solver who is meticulous about details, passionate about follow-through, and genuinely enjoys building clean, reliable workflows. You'll work closely with vendors, clients, and our design team, so clear, warm, professional communication, spoken and written, is essential. Because much of this work is billed to client projects, the role targets roughly 50% billable time each week. WHAT YOU'LL DO Procurement & Purchasing Manage the full order lifecycle for furniture, lighting, fabrics, wallpaper, artwork, and accessories. Enter product information, photos, and pricing into Studio Designer; calculate pricing and create merchandise proposals for the design team. Convert approved specifications into accurate purchase orders and place orders with showrooms, trade vendors, and custom workrooms. Confirm trade pricing, stock, lead times, finishes, and vendor invoices against specs. Tracking & Logistics Expedite every open order from production through delivery, keeping Studio Designer, our tracking spreadsheet, and Asana up to date with tracking numbers, ship and receive dates, backorders, and discontinuations. Deliver status reports in regular team meetings, flag major developments as they happen, and send expediting reports to clients. Coordinate with the receiving warehouse, review condition reports, and work with the team to set delivery dates. Resolve delayed, damaged, or missing merchandise with vendors, shippers, and the receiver — including freight claims and repairs. Billing & Financial Operations Generate and send time-billing and sales tax invoices from Studio Designer; process vendor deposits, payments, and balances. Deposit checks, manage client ACH payments, and enter and reconcile payments in Studio Designer. Pay select vendor invoices with the Principal Designer's approval and track reimbursable freight, shipping, and processing charges. Send Petty Cash Log details to their bookkeeper and replenish funds as needed. Studio Operations Keep vendor, client, and account records in Studio Designer accurate and up to date and help improve studio workflows over time. Track your time in Clockify and enter the Principal’s hours into Studio Designer at the end of each pay period (twice monthly). Keep the office organized and stocked. Installations & Photo Shoots Help schedule movers and installers; be on site for installations to help confirm deliveries, install light bulbs and furniture pads, tip movers, and more. Assist at photo shoots, including carrying and transporting medium-weight items such as styling boxes and lamps. Other duties as needed; the team is small, and everyone pitches in. WHAT YOU BRING Required At least 2 years of work experience. Exceptional attention to detail and accuracy with numbers, data entry, and invoices. Clear, professional, and kind communication with vendors, clients, and teammates — by phone, email, and in person. Proven ability to manage multiple open orders and deadlines and solve problems calmly when shipments go sideways. Strong skills in Excel, Google She…
