Plumbing Office Manager/ Dispatch
Pro Services, Inc.Job Summary We are seeking a highly organized and proactive Office Manager/Dispatch to oversee daily office operations and coordinate dispatch activities. This role requires a versatile individual with strong administrative, supervisory, and communication skills to ensure efficient workflow, effective vendor management, and seamless team coordination. The ideal candidate will have experience in office management, event planning, and human resources, with the ability to handle multiple responsibilities in a fast-paced environment. Duties CRM Proficiency: Housecall Pro, ServiceTitan, Service Fusion (dispatching, scheduling, estimates/invoices, customer comms, payments, reporting). Experienced with Field Service CRMs: Housecall Pro, ServiceTitan, Service Fusion—job booking → dispatch → invoicing → closeout workflows. Oversee scheduling management for staff and dispatching of services or deliveries Coordinate vendor relationships, negotiate contracts, and manage vendor accounts Supervise administrative staff and provide training & development opportunities Plan and coordinate company events and meetings to enhance team engagement Manage human resources functions such as onboarding, employee records, and compliance Oversee office supplies inventory and procurement processes Ensure excellent phone etiquette and professional communication with clients, vendors, and team members Support medical office management tasks if applicable Qualifications Proven experience in office management, administrative support, or related roles Supervising experience with team management skills Proficiency in QuickBooks, calendar management software, and multi-line phone systems Strong organizational skills with attention to detail Excellent communication skills both verbal and written Experience with event planning, vendor management, payroll, budgeting, bookkeeping, and human resources functions Office experience including clerical tasks such as filing and front desk duties Ability to handle multiple priorities efficiently in a fast-paced environment Knowledge of medical office management is a plus but not required Demonstrated ability to train staff and support team development This position offers an opportunity to play a key role in maintaining smooth office operations while supporting company growth through effective team leadership and administrative excellence.
