Position Summary: We are looking for a Shop Operations Coordinator to join our maintenance team and help keep the day-to-day operation of our mechanic shop running smoothly. This is not a traditional parts-counter position . While ordering parts and managing vendor accounts will be a significant part of the job, this position will also be responsible for supporting the administrative and operational side of the shop. We are looking for someone who is organized, dependable, computer-savvy, detail-oriented, and capable of taking ownership of their responsibilities. Essential Duties & Responsibilities: Parts & Purchasing Order parts, supplies, and equipment needed for vehicle and equipment repairs Work with parts suppliers and vendors to obtain competitive pricing and availability Track parts orders and follow up on backordered or delayed items Maintain vendor and parts accounts Review purchases and invoices for accuracy Help ensure purchases are properly assigned to the appropriate vehicle, equipment, or work order Build and maintain good relationships with vendors and suppliers Work Orders & Shop Administration Process and maintain mechanic work orders Enter parts, labor, outside repairs, and other costs into work orders Review work orders for completeness and accuracy Help track open, completed, and outstanding work orders Maintain accurate maintenance records Assist with organizing and tracking paperwork and digital records Communicate with mechanics, management, vendors, and other departments regarding repair needs and status Shop Operations Help keep the maintenance shop organized and operating efficiently Monitor outstanding repairs, parts, and other items that could delay work Help identify problems or inefficiencies and find ways to improve them Assist management with maintenance-related projects and administrative tasks Take on additional responsibilities as the needs of the shop change Minimum Requirements: High school diploma or equivalent; further technical education is a plus. Previous experience as a Parts Specialist, heavy-duty truck parts experience preferred but not required. Strong knowledge of truck or heavy equipment parts and systems. Excellent organizational, multitasking, and problem-solving skills. Outstanding customer service and communication skills. Ability to lift up to 50 lbs. Proficiency with inventory management systems and basic computer skills. Valid driver’s license Safety shoes required; adherence to all shop safety protocols.
