Parts Counterman / Parts Specialist
Putnam Toyota- BurlingameJob Overview We are seeking a dependable and motivated Parts Counterman / Parts Specialist to support our retail customers, wholesale accounts, service advisors, and technicians. This position requires someone who can accurately identify and source automotive parts, process orders, maintain inventory, and work efficiently in a fast-paced dealership environment. The ideal candidate is comfortable working with both automotive parts systems and computers throughout the workday. Key Responsibilities Customer & Technician Support: Assist retail and wholesale customers, service advisors, and technicians with parts requests, pricing, availability, and order status. Parts Lookup & Sourcing: Use electronic parts catalogs and dealership systems to accurately identify and source the correct parts. Order Processing: Pull and fill parts orders, bill parts to repair orders (ROs), process counter transactions, and handle returns. Inventory Control: Receive and stock incoming parts, maintain accurate bin locations, perform bin checks, monitor back orders, and report inventory discrepancies. Special Orders: Track special order and back ordered parts and communicate arrival or status updates to the appropriate department or customer. Administrative Tasks: Maintain accurate records, review emails and system notifications, and complete assigned daily parts department tasks. Team Coordination: Work closely with technicians, service advisors, wholesale customers, and management to keep repairs and parts orders moving efficiently. Qualifications & Requirements High school diploma or GED. 1–2+ years of automotive parts experience preferred , ideally in a dealership or automotive parts environment. Basic automotive mechanical knowledge and the ability to accurately identify vehicle parts. Experience using electronic parts catalogs, dealership management systems (DMS), or POS systems. Strong computer proficiency is required. Candidates must be comfortable using a PC for daily work, including email, web-based applications, PDFs, file management, and multiple software programs. Spreadsheet proficiency is required , including the ability to enter, organize, sort, filter, and review data using Microsoft Excel, Google Sheets, or similar spreadsheet software. Ability to learn new computer systems and dealership software quickly. Strong attention to detail and accuracy when entering part numbers, quantities, pricing, and customer/repair-order information. Strong communication, customer service, organization, and multitasking skills. Ability to work independently while also functioning effectively as part of a team. Ability to prioritize tasks and stay organized in a fast paced environment. Reliable attendance and punctuality. Valid driver's license with a clean driving record. Ability to lift up to 50 lbs. This is not strictly a warehouse or parts-pulling position. A significant portion of the job involves researching parts, working within dealership software, communicating electronically, reviewing information, and maintaining accurate records. Candidates should be able to navigate a PC confidently and use spreadsheets as part of their normal day to day responsibilities.
