Order Processing Specialist

Are you an experienced administrative professional with a knack for order management and process accuracy? As our Remote Order Processing Specialist, you will play a pivotal role in maintaining our order integrity, driving order fulfillment best practices to boost customer satisfaction, and delivering cross-functional order recommendations to internal teams. You will work closely with our Sales, Production, and Shipping teams to process purchase orders, maintain accurate order records in our ERP system, and identify opportunities to streamline order workflows and reduce processing errors. What You'll Do (Essential Duties): Order Analysis & Strategy: Review incoming purchase orders for accuracy and completeness, analyze order trends, and prepare actionable recommendations for order processing policies, workflows, and operational improvements. Order Entry & ERP Management: Partner with Sales and Production teams to enter and update orders in the ERP system, establish/update order statuses, and audit order records to ensure complete accuracy and timely fulfillment. Order Reporting & Planning: Assist in creating and publishing daily and weekly order status reports, backlog summaries, and fulfillment forecasts to support production scheduling and customer communication. Documentation & Administrative Support: Maintain organized digital records of all purchase orders, change requests, and shipping documentation across all facilities to ensure complete traceability, while providing backup support for customer service and invoicing as needed. Cross-Functional Collaboration: Serve as a key team member across cross-functional groups, answer order-related inquiries from customers and internal stakeholders, and assist with training or providing direction to peers. What You'll Need (Remote Requirements): Proven experience in order processing, data entry, or administrative support, preferably within manufacturing, distribution, or a related industry. Strong proficiency with ERP systems and Microsoft Office Suite (Excel, Outlook, Teams). Excellent attention to detail and accuracy in data entry, with the ability to manage high volumes of orders independently. Strong virtual communication skills, with the ability to coordinate across multiple departments and locations. Self-directed work ethic with the ability to manage priorities and deadlines in a remote environment. Requirements Proven experience working in warehouse operations or logistics environments with familiarity in warehouse distribution processes. Proficiency in warehouse management systems (WMS), inventory management software, ERP systems (such as AS400), and Microsoft Office tools. Strong understanding of shipping logistics, order fulfillment procedures, and trade compliance regulations. Ability to operate warehouse equipment including reach trucks, forklifts, pallet jacks, RF scanners, and order pickers safely. Basic math skills for counting, measuring, and verifying quantities accurately during order processing. Excellent data entry skills with high attention to detail to ensure error-free documentation. Customer service mindset with effective communication skills for coordinating with internal teams and external carriers. Physical ability to stand for extended periods, lift heavy items safely, and perform manual tasks involved in stocking and packing.
