Position Summary The Order Fulfillment Specialist is responsible for managing customer orders from receipt through final delivery while ensuring accuracy, on-time performance, and customer satisfaction. This role serves as a critical liaison between customers, sales, production, purchasing, inventory control, quality, and shipping departments within an Oil & Gas and Aerospace manufacturing environment. The ideal candidate will possess strong organizational skills, manufacturing experience, attention to detail, and the ability to prioritize competing demands in a fast-paced production setting. Experience in material purchasing, supplier management, and ERP systems is highly preferred. Essential Duties and Responsibilities Review and process customer purchase orders, ensuring accuracy of pricing, specifications, quantities, and delivery requirements. Enter and maintain orders within the company's ERP system. Coordinate with production, planning, purchasing, quality, and shipping teams to ensure timely fulfillment of customer requirements. Monitor order status and proactively communicate updates, delays, or issues to customers and internal stakeholders. Collaborate with customers to resolve order discrepancies and technical or commercial concerns. Generate and manage order acknowledgments, shipping documentation, and customer-required certifications. Work closely with the Purchasing Department to ensure raw materials, subcontract services, and outside processing requirements are available to support delivery commitments. Assist with procurement activities, including sourcing materials, obtaining supplier quotations, issuing purchase orders, and tracking supplier performance. Monitor inventory levels and coordinate replenishment of critical materials to support manufacturing operations. Participate in inventory counts, reconciliations, and audits to maintain inventory accuracy. Review manufacturing schedules and collaborate with operations to identify and resolve potential bottlenecks. Maintain compliance with customer, quality, and regulatory requirements applicable to the Oil & Gas and Aerospace industries. Support continuous improvement initiatives to enhance efficiency, accuracy, and customer service. Perform other duties as assigned by management. Qualifications High School Diploma or GED required; Associate's or Bachelor's degree in Supply Chain Management, Business, Logistics, Manufacturing, or a related field preferred. Minimum 3 years of experience in order fulfillment, customer service, purchasing, supply chain, or production coordination within a manufacturing environment. Experience in Oil & Gas, Aerospace, Precision Machining, or Industrial Manufacturing preferred. Material purchasing and supplier management experience required. Working knowledge of manufacturing processes, inventory management, and production scheduling. Experience utilizing ERP/MRP systems for order processing, purchasing, and inventory control. Proficient in Microsoft Office Suite, particularly Excel. Strong analytical, organizational, and problem-solving skills. Excellent verbal and written communication skills. Ability to prioritize multiple tasks and meet demanding deadlines. Strong attention to detail and commitment to accuracy. Preferred Skills Experience reading customer purchase orders, drawings, and specifications. Familiarity with AS9100, ISO 9001, API, or other quality management systems. Understanding of material certifications, traceability, and manufacturing documentation requirements. Knowledge of aerospace alloys, stainless steels, nickel alloys, and other specialty materials.
