HOW YOU WILL MAKE AN IMPACT 

The Operations Team Member plays a vital role in ensuring the success of OneBeat’s regional events, national events, conventions and other events. Working closely with the Vice President of Operations, Chief Operations Officer, and fellow Operations Team Members, this role supports both office-based and on-the-road functions, coordinating travel and logistics to ensure seamless execution.

WHAT YOU WILL DO 

  • Book and manage travel arrangements for OneBeat Tour Team, Judges and Leadership Team Members, including but not limited to flights, hotels, and rental cars.
  • Create and distribute travel notes and itineraries for OneBeat Tour Team, Judges and Leadership Team Members.
  • Assist with general event logistics, including but not limited to venue sourcing and hotel room block management.
  • Serve as Travel On-Call during assigned weekends to troubleshoot travel issues, assist team members, and answer time-sensitive questions.
  • Print and prepare programs, schedules, signage, and other event documents for distribution.
  • Pack and keep inventory on check-in items, supplies, and other materials required for event execution.
  • Support warehouse operations, including organizing, inventorying, and restocking event supplies.
  • Manage the meal program for all assigned events.
  • Plan and execute special events, including National events parties, Tour Team trainings, internal events and more.
  • Perform other duties as assigned.

ON THE ROAD EXPECTATIONS:

The specific functions of a Team Member’s role while on-the-road will cover a wide scope of activities. This is because all events are not, and will never be, the same. During the regional, national, and convention seasons you will be scheduled to work pre-determined events. During weekends off the above-mentioned season, you will be on-call to assist the Tour Team and other Leadership Team Members as needed.

Responsibilities of the Team Member include but are not limited to:

  • Assist with event setup and breakdown, which may include a stage build
  • Participate in all mandatory training sessions
  • Execute responsibilities of your assigned position to the standards established by your Team Lead
  • Uphold a professional, friendly, and positive demeanor when interacting with clients, attendees, venue staff, and fellow team members.
  • Adhere to and represent the values, brand, and professional standards of OneBeat at all times.
  • Demonstrate adaptability and teamwork by assisting in other roles or duties as needed during the event.
  • Follow all event protocols, timelines, and safety procedures as outlined in training and by leadership.
  • Maintain a clean, organized, and professional workspace throughout the event.
  • All other duties as assigned or designated.

QUALIFICATIONS 

KNOWLEDGE/SKILLS/ABILITIES

  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to problem-solve in fast-paced, high-pressure environments.
  • Flexibility to travel frequently and work weekends as required.
  • Proficiency with Excel and project management tools (e.g., Asana).

EDUCATION/EXPERIENCE

  • Bachelor’s degree or equivalent experience in event management, operations, travel, hospitality or a related field.
  • Prior experience in dance or other performing arts preferred but not required.
