Position Overview: A premier manufacturing organization in Portland is seeking an Operations Support Coordinator to manage essential daily procurement, financial, and administrative workflows. Serving as the central hub of the facility, this role coordinates employee time tracking, customer billing, vendor purchasing, and general office operations. The ideal candidate is a highly organized, detail-oriented professional who is comfortable navigating ERP software and collaborating directly with both shop floor personnel and upper management. Key Responsibilities: 1. Purchasing & Inventory Control Material Procurement: Generate weekly material planning reports, maintain raw stock spreadsheets, request vendor pricing/availability quotes, and issue Purchase Orders. Supplies Management: Procure required hardware for production schedules alongside general office, kitchen, and facilities supplies. Vendor Coordination: Manage waste and recycling logistics, coordinating weekly bin swaps and container replacements with scrap metal vendors. Inventory Reconciliation: Audit production travel documents against run sheets to ensure material alignment for machine operators; execute month-end inventory data entry and adjustments within the ERP system. 2. Billing & Financial Administration Invoicing: Match packing lists and completed shop floor documentation with customer POs to accurately generate and distribute customer invoices. Payment Processing: Reconcile incoming checks, ACH transfers, and credit card payments; process check deposits using remote scanning software. Collections Management: Review accounts receivable aging reports weekly and proactively follow up on past-due accounts via email and phone. Data Integrity: Set up new vendors, customers, and raw stock inventory profiles in the ERP database; collect customer tax exemption certificates and process credit inquiries. 3. Time Tracking & Payroll Support Time Audit: Verify daily employee time entries and audit for variances. Floor Collaboration: Interface directly with manufacturing personnel to collect missing or incomplete time data. Payroll Reporting: Assist with weekly payroll processing and compile reports for management review every Monday. 4. General Office Support Reception: Answer incoming corporate phone calls and route them to the appropriate extensions. Operations Meetings: Attend daily operational meetings to provide real-time status updates on incoming raw materials. Qualifications & Skills Experience: 2+ years of experience combining purchasing (ideally raw metals or industrial components) with administrative, bookkeeping, or office coordination roles. Experience within a manufacturing or job-shop environment is highly preferred. Software: Strong proficiency with ERP systems and Microsoft Excel/Office suite. Skills: Excellent mathematical accuracy, high attention to detail, and professional written/verbal communication skills for collections and vendor negotiations. Traits: A proactive problem-solver who is comfortable walking the production floor to communicate with operators; strong interpersonal skills are a must.
