Operations Specialist
BrainTap TechnologiesWe are looking for an exceptional Operations Specialist to join our growing team in the exciting world of Brain Fitness and Wellness Technology. This is a hands-on role for someone who thrives on bringing order and accountability to the administrative and financial backbone of a fast-moving company. Working from our Corporate Headquarters in New Bern, you will take ownership of HR processes, insurance, legal coordination, outsourced-partner management, and financial/CPA liaison work — including researching and checking financial data and preparing reports for the CEO and Board — bringing well-researched recommendations to leadership for final decision-making, rather than requiring leadership to manage the details. This role reports on the administrative side of operations; the Operations Director focuses on interdepartmental communication, product and inventory management, systems, and support. Key Responsibilities Own end-to-end management of core HR functions: recruiting coordination, onboarding/offboarding, benefits administration, and HR compliance documentation Manage corporate insurance programs, including policy review, renewals, and claims coordination Coordinate legal matters with outside counsel: contract routing and tracking, corporate document management, compliance calendars, and entity governance support Serve as the primary point of contact for outsourced partners and vendors, including contract administration, performance tracking, and issue resolution Coordinate financial documentation requests, expense policy compliance, and tax information needs with the company's CPA and Financial Controller Research and check financial data on behalf of the Financial Controller, and prepare financial and operational reports for the CEO and/or Board of Directors Support investor and board-related documentation and reporting needs Bring recommendations and clear options to the Co-Founder and/or Operations Directors for final decision-making, rather than escalating open-ended questions Maintain organized digital recordkeeping across HR, legal, insurance, and vendor files Help leadership identify bottlenecks and keep administrative and compliance initiatives moving forward without requiring day-to-day oversight Who We're Looking For You are highly organized, discreet, and comfortable operating with real autonomy. You don't just flag problems — you research the options, form a recommendation, and bring leadership a decision to make rather than a question to answer. 5+ years of experience in HR generalist, business administration, or operations work, with direct exposure to legal/compliance and finance-adjacent responsibilities Background in accounting or finance, with the ability to research, check, and reconcile financial data and translate it into clear reports for executive leadership and the Board Demonstrated ability to manage relationships with outside professionals — attorneys, CPAs, insurance brokers — independently and professionally Excellent written and verbal communication skills; comfortable representing the company to external parties and distilling complex matters into clear, actionable recommendations High discretion and trustworthiness handling sensitive HR, legal, and financial information Strong systems-thinking — able to build and maintain processes, not just follow them Working fluency with AI productivity tools for drafting, research, and document management Bachelor's degree preferred; PHR/SHRM or equivalent HR credential a plus Why Join Us?
