POSITION OVERVIEW

 The Operations Manager at Family Tree Relief Nursery is a crucial driver of efficiency and effectiveness in the organization’s daily activities. This role emphasizes optimizing internal processes, managing resources, and implementing operational strategies that align seamlessly with Family Tree Relief Nursery’s mission and goals. Through their expertise in streamlining operations and coordinating across various departments, the Operations Manager enhances service delivery and maximizes the organization’s impact. Their oversight of logistical and administrative functions ensures sustainability and compliance, reinforcing the foundation for ongoing success and community support.  


KEY RESPONSIBILITIES 90% 

Operational Planning and Management

· Ensure that the operation of the organization meets the expectations of its Board and Funders by assisting the Executive Director on needed projects.

· Manage, suggest updates, distributes SOP for organization as needed.

· Oversee the efficient and effective day-to-day operation of the organization.

· Provide support to the Directors and Board by preparing the meeting agenda and supporting materials.

· Work with the Director of HR as the supporting privacy officer, also known as a privacy compliance officer. Assist in developing and modifying privacy policies and practices of FTRN.

Facilities/Office Management

· Assists in developing and administering the annual budget for operational and administrational expenses.

· Assists site supervisors with site childcare certifications.

· Maintains up-to-date records for all state, federal and insurance semiannual and annual inspections.

· Maintains, manages, and coordinates with site supervisor the plans for fire evacuation and disaster response.

· Manage and Maintain file record retention policy across all programs in the organization.

· Manages FTRN facilities structure needs.

· Manages hazardous waste disposal programs.

· Manages preventive maintenance of facility equipment and office equipment including repairs, electrical, plumbing, construction, etc.

· Manages the paper recycling and shredding programs.

· Oversees and manages all operations functions as they relate to facilities. This includes open/closing procedures and daily operations inclusive of safety and security measures.

· Oversees and manages all operations related to the Food Bank program from procurement to distribution.

· Oversees and manages food service and kitchen operations including ordering supplies, managing equipment, and ensuring compliance with all related regulations.

· Oversees and manages the cleaning and maintenance of facility.

Serves as the facility emergency response coordinator.  

Information Technology  

· Coordinates with the Systems Administrative Manager on major projects and server upgrades to ensure minimal disruption to users.

· Coordinates with the Systems Administrative Manager on purchases of new hardware or software. All purchases must be approved by Director of Human Resources or Executive Director.

· Works with System Administrative Manager to provide advanced trouble shooting between off-site server computer/network support relating to software and hardware problems reported by users.


OTHER DUTIES AND RESPONSIBILITIES 10% 

• Perform any other duties at the request of the Executive Director, Director of Human Resources.      

  

General Expectations

· Attend and participate in required supervision, team meetings, and training as required.

· Attend community, work, and family events assigned.

· Complete all data and reports in the timeframes stipulated.

· Comply with all health and safety standards per state regulations.

· Comply with state guidelines regarding mandated reporting of suspected abuse and/or neglect.

· Document hours and mileage in accordance with Relief Nursery policy.

  Maintain a neat, clean, and professional appearance.

· Maintain an acceptable driving record, driver’s license, reliable vehicle, and auto insurance while employed at Family Tree Relief Nursery.

· Maintain strict confidentiality in accordance with Relief Nursery policies.

· Participate in the delivery of Parent Education in accordance with Family Tree Relief Nursery programming.

· Serve as a member of one Family Tree Relief Nursery Committee: Safety, Social Engagement, or Self-Care. Carrying out duties of this committee as agreed during regular meetings.

Requirements

MINIMUM QUALIFICATIONS AND EXPERIENCE 

  

· Bachelor's Degree or equivalent knowledge and skills obtained through a combination of education, training, and experience.

· Three to five (3-5) years of experience performing facilities management preferred.

· Two to four (2-4) years of previous supervisory experience preferred.

· Able to adapt and work effectively under pressure.

· Able to communicate clearly, concisely, and effectively both orally and in writing.

· Able to demonstrate and model a positive attitude toward work and personal balance.

· Able to establish and maintain professional boundaries while providing supportive services and building trusting relationships with staff.

· All work performed must follow the philosophy, mission, and values of Family Tree Relief Nursery.

· Familiarity with vulnerable populations, including families in poverty, domestic violence, physical and/or mental health issues and addiction.

· Maintain enrollment in the State Central Background Registry.

· Maintain strict confidentiality in accordance with Relief Nursery policy, including proper “release of information”

documents before communicating with any community partners.

· Must attend or have record of recent training in mandatory reporting of child abuse and neglect.

· Must demonstrate judgment and common sense, and the ability to respond effectively to emergent and crisis situations.

· Must exhibit dependability, flexibility, punctuality, and strong time management skills.

· Must have good organizational skills.

· Must have reliable transportation and maintain a valid driver’s license for state of residency and have a driving record permitting coverage under the corporate liability policy. If driving a personal vehicle for work purposes must also have and maintain personal auto liability coverage. All employees driving for work purposes, regardless of whether driving a personal or agency vehicle, must complete the agency’s driving approval process before they drive for work.

Physical and Mental Demands: The role requires the ability to sit, stand, walk, bend, lift (up to 25 lbs.), push, pull, reach, manipulate, carry, and key/type. It also involves intense mental and visual attention for complex tasks that require planning and execution. Working Conditions: Typically performed in comfortable conditions with minimal disagreeable elements.
