Description

General: The Operations Manager is a leadership position responsible for providing oversight, direction, and hands-on support for all daily operations across the gas station's various departments, including the car wash, auto detail shop, retail store, and warehouse. This role focuses on analyzing data, identifying problems, and implementing solutions to maximize efficiency, profitability, and customer satisfaction. The Operations Manager will report to the General Manager, establish and maintain strong, cooperative relationships with all team members and must be flexible to work all shifts, including nights, weekends, and holidays, to ensure smooth 24/7 operations.

Essential Duties:

  • Operational Oversight & Efficiency:
  • Develop and implement strategic plans to improve the efficiency and profitability of each department (car wash, auto detail, retail store, and warehouse). This includes conducting regular process audits, analyzing key performance indicators (KPIs) such as sales per hour and inventory turnover, and identifying bottlenecks in workflows.
  • Oversee and manage any major projects related to construction, repairs, and facility maintenance. This includes working with inter-department resources and external contractors to define project scope and timelines, managing budgets, ensuring compliance with local building codes and safety regulations, and providing regular progress updates to senior management.
  • Troubleshoot and resolve issues with POS systems, detail and car wash equipment, gas station pumps, and propane dispensing stations.
  • Respond to fuel alarms and conduct monthly underground storage tank audits.
  • Oversee the daily opening and closing procedures, including cash handling, report reconciliation, and daily sales submissions to the finance team.
  • Ensure the timely and efficient execution of all projects and tasks across departments.


  • Inventory & Vendor Management:
  • Assist with managing and controlling inventory processes across the entire operation, from the retail store to the warehouse.
  • Prepare, order, and coordinate with vendors for replenishment of all supplies and equipment.
  • Ensure the receiving process for deliveries is timely and accurate, and investigate any discrepancies.
  • Conduct monthly physical inventory counts and monitor supply use to identify opportunities for reducing waste and minimizing carrying costs.


  • Team Leadership & Management:
  • Supervise and assign duties to team members and supervisors across all departments.
  • Conduct new hire interviews, manage training schedules, and provide direction and support to improve job performance.
  • Assist with team member scheduling, payroll, and time-off requests to ensure adequate staffing at all times.
  • Assist the Store Manager with performance reviews, team member notices, and corrective actions.
  • Maintain an open line of communication with the team and conduct regular team meetings.
  • Respond and provide solutions to both customer and team member concerns.


  • Sales, Marketing, & Customer Service:
  • Monitor sales trends and customer feedback to develop and implement effective sales promotions and marketing strategies for all departments.
  • Ensure a consistently high level of customer service is provided by all team members, and implement training programs to improve service delivery.


  • Facility & Safety:
  • Supervise the organization and cleanliness of the entire property, including the mini mart, warehouse, pump islands, car wash area, and detail shop.
  • Manage the execution of routine maintenance and record-keeping of the maintenance log for all equipment and facilities. This includes scheduling and supervising all preventative and corrective maintenance, coordinating with specialized vendors or internal teams, and maintaining a detailed digital or physical log of all work performed, costs, and service dates to ensure equipment longevity and compliance.
  • Adhere to all company policies and procedures.
  • Report all suspicious activity, including potential theft or safety concerns, to the Department of Public Safety (DPS).
  • Write and submit incident reports for both customers and team members as needed.


  • Physical Requirements & Working Conditions:
  • The role involves a high percentage of standing, walking, and carrying, pushing, and pulling equipment.
  • Ability to lift up to 100 pounds.
  • The job will be performed both indoors and outdoors, and will involve working with detailing chemicals, machinery with moving parts, and moving vehicles.
  • The use of protective gloves and boots is required.



Requirements

Education & Experience

  • Must be twenty-one (21) years of age. 
  • High school diploma or equivalent
  • Minimum of three (3) years of hospitality, customer service, or retail experience with inventory control.
  • Minimum of two 92) years of supervisory experience. 
  • Proven experience in managing teams and strong interpersonal and organizational skills.
  • Strong written and verbal communication and problem-solving skills.
  • Experience with cash handling, Point-of-Sale (POS), and inventory management software is required.
