Operations Manager Job Description & Key Accountabilities Reports To [Director of Operations / General Manager] Department Facility Operations Position Summary The Operations Manager is accountable for the end-to-end performance of the PerfectRx facility. This role oversees every warehouse function: Rx Label Printing, Pharmacy Technicians, Syringes, the Urgent Team, Shipping Label Print (Shipstation), and Pack Out. The Operations Manager works in partnership with the Pharmacist-in-Charge (PIC), who retains authority over all clinical and pharmacist-verification decisions. PerfectRx is a high-volume, mail-order compounding pharmacy. The Operations Manager ensures the facility meets daily production and shipping commitments without compromising accuracy, regulatory compliance, or patient safety. The role sets priorities, allocates labor across departments, removes bottlenecks, and holds department leads accountable to defined standards. This is a leadership position. It carries responsibility for people development, SOP ownership, KPI reporting, and continuous improvement across the facility. It also serves as a key contributor as PerfectRx replicates its operating model at new sites, including the planned Texas facility. Operations Leadership Direct day-to-day facility operations to meet daily fill, pack, and ship commitments. Own production planning, labor allocation, and capacity planning across all departments. Set daily and weekly priorities, including partner priority lists and urgent-order handling. Identify and resolve bottlenecks between departments before they affect throughput or service levels. Serve as the escalation point for operational issues that cannot be resolved at the department level. People Leadership Lead, coach, and hold accountable the department managers and leads across the facility. Partner on hiring, onboarding, and staffing decisions to maintain appropriate coverage for volume. Oversee the Pharmacy Technician Level 1–4 progression framework and equivalent paths in other departments. Conduct performance reviews, address performance gaps, and document corrective action consistently. Build a culture of accountability, station discipline, and patient safety first. Quality, Compliance & Patient Safety Ensure facility operations comply with PerfectRx SOPs and applicable federal and state pharmacy regulations. Partner with the Pharmacist-in-Charge on quality events, dispensing errors, and patient safety concerns. Lead root cause investigations for operational issues and quality events. Maintain inspection readiness and support Board of Pharmacy inspections, audits, and accreditation reviews. Enforce documentation standards so records are accurate, complete, and contemporaneous. Inventory & Supply Chain Oversee inventory control, including lot number, expiration, and beyond-use date tracking. Ensure accurate cycle counts, physical inventories, and reconciliation across the facility. Coordinate with purchasing and vendors to prevent shortages of medications, supplies, and shipping materials. Own shrink, waste, and expired-inventory reporting and reduction efforts. SOPs & Continuous Improvement Own the facility's SOP library: author, review, approve, and retire procedures with appropriate stakeholders. Apply Lean and operational excellence methods to improve accuracy, throughput, and cost per order. Manage change control for new processes, equipment, systems, and workflow changes. Standardize workflows so they can be replicated at new PerfectRx facilities. Performance Reporting & Budget Define, track, and report facility KPIs to senior leadership. Manage the facility's operating budget, including labor, supplies, and equipment. Use data to forecast volume, justify staffing, and support capital and expansion decisions.
