We are looking for a dependable, organized, hands on person who takes ownership and can keep important parts of our daily business moving. This is a varied position, not a traditional desk only role. In the same day, you may work in QuickBooks, process orders, manage inventory, help a walk in customer, prepare a shipment, move product, or solve an operational problem. We are looking for someone who notices what needs to be done and takes responsibility for getting it done. If a customer walks in while you are working on bookkeeping, you help the customer. If you notice an equipment problem, you figure out the next step. If inventory is running low, you address it before it becomes a problem. The goal of this position is to take responsibility for important day to day operations so ownership can focus more time on customers, sales, and growing the company. The Job at a Glance Bookkeeping & Administration Maintain day to day financial records in QuickBooks Online Handle transactions, bills, invoices, payments, and vendor records Assist with accounts payable and accounts receivable Complete reconciliations and maintain organized financial documentation Assist with monthly bookkeeping and financial close preparation Identify discrepancies and follow through on corrections Orders & Inventory Process and track customer orders from receipt through completion Verify order details and coordinate with production and shipping Maintain accurate inventory records Monitor stock levels and proactively identify shortages Place orders for new inventory and supplies Prepare and follow up on purchase orders Investigate inventory discrepancies and help resolve them Customer Service & Retail Welcome and assist walk in customers Answer product questions and make helpful recommendations Recognize opportunities to recommend complementary products Process purchases and payments Keep the retail area stocked, clean, organized, and inviting Shipping, Warehouse & Production Receive and move incoming materials and products Prepare, verify, and coordinate outgoing shipments Coordinate carrier pickups when needed Maintain an organized warehouse Assist with order fulfillment and production when needed Operate warehouse or production equipment after appropriate training and authorization General Operations & Problem Solving Step in where needed to keep daily operations moving Assist with special projects and changing business needs Troubleshoot minor operational, equipment, and computer problems Help coordinate solutions when an issue requires outside assistance Assist with basic facility, equipment, grounds, and handyman tasks What Success Looks Like The successful person in this role will make our daily business easier and more efficient to operate.
