Job Summary:
The Operations & Fulfillment Coordinator provides comprehensive administrative support while also executing fulfillment activities including warehouse receiving, pick, pack and shipment of customer orders. This role is highly process-driven, detail-oriented and plays a critical role in the oversight of the AED program and accurate customer order fulfillment. The ideal candidate will possess strong administrative capabilities, exceptional data accuracy, and the ability to problem-solve and collaborate effectively in a fast-paced, cross-functional environment.
Supervisory Responsibilities:
Essential Job Functions:
- Modify, track, and process related documentation tied to the AED program.
- Perform high-volume, highly accurate data entry across multiple systems.
- Maintain detailed and organized records to support billing inquiries, audits, and operational tracking.
- Assist with audits related to pricing, inventory, and operational processes.
- Compile data and prepare responses to internal teams and external customers.
- Monitor inventory levels and maintain accurate inventory records in conjunction with performing physical inventory on a quarterly basis.
- Prepare shipping documentation and execute fulfillment transactions in collaboration with the eCommerce and National Account teams.
- Support Purchasing operations through completion of miscellaneous tasks, including data entry, order follow-up, and cross-functional coordination as needed.
- Performs other related duties as assigned.
Experience & Qualifications:
- 3+ years of experience in administrative support, logistics, order fulfillment and/or office coordination roles.
- Experience with inventory systems, shipping processes, and/or supply chain operations preferred.
- Skilled in Microsoft Office (Excel, Word, Outlook, PowerPoint) with the ability to quickly learn and navigate internal systems.
- Demonstrated ability to manage multiple priorities, organize information, and execute administrative tasks with efficiency and professionalism.
- Follows established procedures while proactively identifying opportunities for process improvement and operational efficiency.
- Maintains a high level of accuracy in documentation, reporting, and data entry with minimal errors
- Works effectively with team members and cross-functional partners; communicates clearly both written and verbally and contributes to a positive team environment.
Physical Requirements:
- Prolonged periods of sitting, standing, walking, talking, attending in-person and virtual online meetings, and working on a computer.
- Ability to reach, lift, carry, push and pull materials up to 25 pounds on a regular basis.
- Frequent use of hands and fingers to handle, sort, package and process orders and operate a computer as well as other office equipment (printer, phone, copier, etc…)
- Ability to work in an office and warehouse environment, which may include exposure to varying temperatures, noise levels and active work areas.
- Ability to maintain focus and accuracy in a fast-paced environment with frequent interruptions.
