About the Role

Riverwater Partners is seeking an Operations/Executive Assistant to support our Asset Management team. This role is well-suited for a highly organized, exceptionally detail-oriented professional who thrives in a fast-paced, data-rich environment. The ideal candidate takes pride in accuracy, is comfortable navigating multiple technology platforms simultaneously, and understands the operational rigor that comes with working in a registered investment advisory firm.

Key Responsibilities

Administrative & Executive Support Provide comprehensive administrative support to the Chief Investment Officer, Advisors, and broader Asset Management team, including calendar management, scheduling, correspondence, travel coordination, and meeting preparation. Assist the Chief Operations Officer with special projects and initiatives spanning marketing, compliance, firm productivity, and growth.

Client Service & Relationship Management Serve as a primary point of contact for non-advice-related client inquiries, responding promptly and professionally. Steward client relationships by scheduling appointments, managing follow-up communications, and maintaining accurate CRM records to ensure a well-defined client service model is consistently executed. Support the planning and execution of firm events, including developing materials and managing attendee communications.

New Business & Prospect Pipeline Support Assist Advisors with prospect pipeline management, including preparation of proposals and outreach materials (no cold outreach). Support client onboarding end to end -- preparing new account paperwork, coordinating account openings, and facilitating the transition of new assets to the firm.

Institutional & Performance Reporting Populate institutional investment databases and respond to requests for monthly and quarterly institutional client reporting. Run quarterly reports from Black Diamond and update quarterly review decks, factsheets, and promotional materials with current financial data. Prepare weekly, quarterly, and annual reports across a variety of platforms and support ad hoc portfolio reporting and data integration across systems.

Compliance & Regulatory Support Assist with compliance initiatives to ensure adherence to regulatory requirements and track IAR continuing education (CE) credits for Advisors.

Operational Backup & Coverage Serve as a trained backup to Wealth Management Operations during scheduled absences and as otherwise needed to ensure continuity of service.

Bookkeeping Assist with bookkeeping tasks in support of the Asset Management department's financial recordkeeping.

Marketing & Business Development Support Serve as a liaison between marketing and sales to help design content that effectively positions Riverwater's investment strategies. Assist in preparing promotional and marketing materials, maintaining relevant databases, and supporting the sales team with reporting and analytics in support of the firm's overall growth objectives.


Preferred Qualifications

  • Exceptional attention to detail and a high degree of accuracy in all work product
  • Comfortable working across multiple technology platforms and eager to learn new tools
  • Experience with HubSpot (CRM management, workflows) preferred
  • Experience with Black Diamond or similar portfolio reporting platforms preferred
  • Familiarity with Schwab Advisor Services or comparable custodial platforms a plus
  • Strong written and verbal communication skills
  • Ability to manage competing priorities and deadlines with minimal oversight
  • Background in financial services, investment advisory, or a related field preferred
