The Operations Coordinator plays a key role in ensuring the smooth day-to-day operations of the St. Anne’s main floor office. This role serves as the first point of contact for guests and provides essential administrative support. The Operations Coordinator is responsible for managing front desk duties, coordinating mail and courier services, participating in digitization efforts, and providing general administrative support to the Operations team. This role supports Assiniboine Credit Union/ Caisse Assiniboine (ACU)’s commitment to rural and agricultural communities, francophone services, values-based banking and ACU’s triple bottom line accountability to people, planet, and prosperity.

 KEY ACCOUNTABILITIES

  • Greet and assist visitors and guests in a professional manner.
  • Act as a primary resource for receiving, sorting and distributing incoming mail and courier packages.
  • Coordinate outgoing courier deliveries, and track shipments as required.
  • Implement tracking for outgoing deliveries, and escalate to the appropriate courier company when items have not been retrieved for delivery.
  • Scan, upload and organize incoming mail as appropriate, ensuring accuracy and privacy are maintained at all times.
  • Utilize document management software and enterprise ticketing systems effectively & accurately.
  • Facilitate weekly internal courier bag processing on behalf of the wider organization.
  • Ensure accurate and timely electronic filing of documentation, utilizing digital file system accurately and efficiently.
  • Maintain knowledge of the various departments across the organization, ensuring documents and mail are distributed appropriately.
  • Contact law offices and/or couriers on behalf of the Operations teams, as required.
  • Participate in department projects and continuous improvement initiatives.
  • Provide general administrative support to the Operations department, including maintaining fire insurance records, assisting with reconciliation preparation, completing data entry into the banking system or service desk, etc.
  • Assist with other office coordination and support duties as assigned to meet the evolving needs of the St. Anne’s Head Office location.
  • Required to keep strictly confidential the affairs of anyone whose private information becomes available to them in the course of their duties.

  

QUALIFICATIONS

 EDUCATION & EXPERIENCE

The competencies for this position would typically be acquired through the completion of grade 12 diploma, accompanied by a minimum of one years’ experience in a professional office environment.  Bilingualism in French and English would be considered an asset for this position.

KEY OCCUPATIONAL SKILLS

This role requires demonstrated success in all of ACU’s core competency areas, as well as:

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Sharepoint)

• Comfortable working independently

• Strong organizational and time management skills

 

LOCATION & WORK ENVIRONMENT

This position is required to be onsite at the St. Anne’s location, and is not eligible for remote work.

May involve occasional lifting of packages (up to 25 lbs).
