You must have an outstanding attitude, service mentality and a solid work ethic.  This hourly position will be located in our corporate office in Nampa, Idaho, and will work closely with executives and senior management and remotely with other levels of the organization.  You must be able to work a Tuesday through Saturday schedule to accommodate our West Coast teams.  After training is complete, working from home on Saturday may be an option.  

JOB SUMMARY 


The Operations Coordinator plays a vital role in maintaining regulatory compliance and ensuring smooth communication and task management within the company stores. They ensure that vehicle titles, registrations, and dealer operations adhere to state and federal regulations. Key responsibilities include processing applications, verifying documents for accuracy, review of financing paperwork, and general store operations support. 


ESSENTIAL DUTIES AND RESPONSIBILITIES


The essential duties and responsibilities include, but are not limited to the following:

I.  Compliance and Regulatory Management (DMV/DOT)

This function is critical for ensuring company vehicles, driver records, and titling/registration processes comply with all state Department of Motor Vehicles (DMV) and Department of Transportation (DOT) regulations.

  • Regulatory Monitoring & Expertise: Research and track changes to state-specific DMV/DOT laws, regulations, and dealer requirements. Serve as the internal subject matter expert and go-to resource for questions about state-specific paperwork requirements.

  • Documentation & Auditing: Review, process, and audit vehicle registration, titling, and driver qualification files. Conduct regular, proactive audits of deal jackets and paperwork to ensure accuracy and compliance, identifying and correcting discrepancies.

  • Relationship Management: Act as the primary liaison between the company and state DMV offices, including overseeing third-party tag and title agencies, if applicable.

  • Systems & Training: Maintain an up-to-date library of state-specific paperwork checklists, forms, and submission instructions. Update internal systems and templates to reflect current requirements. Provide training to sales, finance, and operations teams on new forms or regulatory changes.

II.  General Operations Support

  • Communication: Clearly and accurately receive and relay directions to and from colleagues. Write clear internal communications (handouts, emails) to inform teams of important operational information.

  • Metrics & Analysis: Monitor, measure, verify, and report on various store-level tasks and metrics for senior staff or other stakeholders, in both digital and in-person formats.

  • Process Improvement: Conduct regular analysis of data, processes, and procedures, making necessary adjustments to improve efficiency and results.

  • Additional Duties: Perform other relevant duties as required to support operations.

SKILLS


  • Communication:  Excellent verbal, written, and comprehension and communication skills in English. Ability to comprehend complex instructions and clearly explain them to others to guide desired outcomes.  Must be able to read and interpret documents such as DMV reports, financing information, safety rules, operating and maintenance instructions, and procedure manuals. Also important is the ability to write occasional reports and correspondence and to speak effectively with customers and/or employees. 

  • Attention to Detail & Judgment: Exceptional attention to detail, strong problem-solving abilities to identify and correct challenges, decisiveness, and good judgment to manage competing matters under time constraints.

  • Organization: Strong organization and time management skills to handle multiple tasks and projects simultaneously.

  • Professionalism: Cooperative and collaborative attitude toward executive staff, managers, and employees. Professional behavior when working with other departments and stores.

  • Computer / Technical Tools: Proficient in basic computer skills including email, spreadsheets (Microsoft Excel), and presentation creation software. Familiarity with Customer Relationship Management (CRM) systems. Strong research ability and written documentation skills. Proficient in Adobe Acrobat for creating, editing, and formatting PDFs.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION / EXPERIENCE

Required Education and Experience:

  • Education/Experience: Some college a plus; high school diploma or equivalent.  

  • Prior experience in automotive dealership administration, title and registration processing, financing paperwork review and/or compliance is beneficial.

  • Demonstrated mid- to senior-level expertise in Operations or similar business roles.
