POSITION TITLE: OPERATIONS COORDINATOR                                                   FLSA Status: Non-Exempt


POSITION SUMMARY: The Operations Coordinator supports the daily operations of Production, Shipping, and Installation by coordinating workflow, maintaining operational systems, tracking production activity, and ensuring accurate communication between departments. This role works closely with the Plant Manager, Team Leads, Project Management, and other departments to help ensure projects are completed efficiently, accurately, safely, and on schedule. The Operations Coordinator plays a key role in maintaining data accuracy within M1 and Smartsheet systems while supporting production scheduling, reporting, inventory tracking, shipping coordination, installation logistics, and continuous operational improvement initiatives across the organization.

 

GENERAL DUTIES & RESPONSIBILITIES:

GENERAL OPERATIONS RESPONSIBILITIES
• Maintain working knowledge of M1 ERP system functionality and operational processes.
• Validate M1 reporting accuracy and communicate discrepancies or system issues to Management and Team Leads.
• Verify job operations, job statuses, material issues, labor entries, and material substitutions are complete and accurate.
• Reconcile all shop timecards in M1 with Paylocity payroll records.
• Assist with production scheduling, change order coordination, and operational communications.
• Maintain company vehicle records including maintenance schedules, registrations, inspections, and vehicle Smartsheet’s.
• Generate and maintain operational reports related to production status, labor utilization, shipping activity, and installation schedules.
• Support daily production planning and workflow coordination with Team Leads and Management.
• Assist with identifying production bottlenecks, delayed jobs, and operational inefficiencies.
• Coordinate communication between Estimating, Project Management, Production, Shipping, and Installation departments.
• Maintain organized digital and physical operational documentation.
• Participate in continuous improvement and process optimization initiatives.
• Support inventory audits, cycle counts, and material tracking activities.
• Assist with onboarding coordination and operational training documentation for production personnel.


PRODUCTION DUTIES & RESPONSIBILITIES
• Execute work order releases for M1 parts and production jobs.
• Print travelers, attach corresponding drawings and documentation, and distribute production packets in a timely manner.
• Manage the M1 Open Jobs and Job Operations Grid to ensure accurate job tracking and reporting.
• Verify completed shop operations are accurately reflected in M1, including labor entries and quantities produced.
• Ensure operations are properly marked complete and materials are correctly backflushed to jobs.
• Communicate material substitutions and production issues to the Estimating and Project Management teams.
• Verify jobs are production-complete prior to shipment processing.

• Monitor production schedules, identify bottlenecks or delayed jobs, and communicate operational risks to Management and Team Leads.
• Support production KPI tracking and departmental performance reporting.
• Assist with maintaining accurate production schedules and job priorities.
• Coordinate material staging and production readiness activities.
• Assist with documenting and tracking rework or quality-related issues.


SAFETY & COMPLIANCE RESPONSIBILITIES
• Support company safety initiatives and operational compliance standards.
• Assist with maintaining OSHA documentation, safety records, and training logs.
• Report operational or safety concerns to Management promptly.
• Assist with coordinating required inspections, certifications, and compliance tracking.
• Promote clean, organized, and safe work environments throughout office and shop operations.

Requirements

QUALIFICATIONS/REQUIREMENTS:

  • Excellent Communication Skills
  • Ability to handle pressure situations
  • Must be proficient in computer programs (Paylocity and M1 preferred)
  • Work in fast-paced environment
  • Must be able to multi-task and stay organized
  • Experience in manufacturing, fabrication, or industrial operations environments preferred.

The employee is regularly exposed to moving mechanical parts and fumes or airborne particles, you may be working with saws, welding equipment, or grinders. The employee is occasionally exposed to wet and/or humid conditions. The noise level in the work environment is usually loud. 


PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle controls (keyboard, phone); and talk or hear. Occasional standing, walking, stooping is required. Occasional lifting and/or moving up to 10 pounds.
