Operations Coordinator
Transchem, Inc.Overview We are seeking a detail-oriented and organized Operations Coordinator to support our inventory, purchasing, and logistics activities. This role is ideal for someone who enjoys coordinating multiple operational tasks, maintaining accurate inventory records, working with vendors and warehouses, and supporting efficient day-to-day business operations. The position will initially provide temporary coverage and training support ahead of a planned employee leave, with the opportunity to transition into a permanent position for the right candidate based on performance and business needs. We rely on accurate inventory management, timely communication, and strong coordination between purchasing, sales, suppliers, and third-party warehouses. The successful candidate will play an important role in keeping these processes running smoothly. Key Responsibilities Inventory & Warehouse Coordination Coordinate inventory transfers between warehouses and maintain accurate inventory records. Track inventory levels, review low-stock items and reorder points, and communicate replenishment needs to management. Prepare and distribute weekly aging inventory reports to the Sales team. Participate in biweekly inventory meetings and follow up on inventory-related action items. Review monthly warehouse storage activity and related invoices to verify accuracy and support month-end close. Purchasing & Logistics Support Prepare and issue purchase orders and coordinate purchase order receipts. Monitor domestic and import shipment arrival notices and communicate updates to relevant teams. Coordinate packaging requests and provide packaging instructions to warehouses and suppliers. Assist with selected customer and supplier quotation requests. Review and approve inventory-related and warehousing invoices in accordance with company procedures. Product Data & Documentation Maintain organized vendor documentation, including Certificates of Analysis (COAs). Create and maintain COA templates and product label templates. Enter new products and maintain accurate product information in the company’s ERP system and GHS-related records. Ensure inventory, product, and supporting documentation are accurate and up to date. Cross-Functional Support Work closely with Purchasing, Sales, Accounting, suppliers, and third-party warehouses to resolve operational issues. Identify discrepancies, communicate issues promptly, and help improve inventory and operational processes. Provide general operational support as needed. Qualifications Previous experience in inventory control, purchasing, logistics, supply chain, warehouse coordination, or operations administration. Strong organizational skills and attention to detail, with the ability to manage multiple priorities. Experience working with an ERP or inventory management system. Proficiency in Microsoft Excel and other standard office applications. Strong written and verbal communication skills. Ability to review records, identify discrepancies, and follow established procedures. Comfortable working independently while collaborating with multiple departments. Preferred Qualifications Experience in distribution, manufacturing, or a related industry. Familiarity with import shipments, warehouse transfers, purchase orders, and inventory replenishment. Experience maintaining product documentation, COAs, or label templates. Familiarity with GHS-related product information and inventory reporting. Employment Opportunity This is a temporary-to-hire position with an anticipated start in December 2026. The initial assignment will include training and transition support, followed by temporary coverage during a planned leave.
