Role Description

The Operations Coordinator provides administrative and logistical support to the senior operations leadership team to ensure smooth day-to-day functioning across multiple departments. This role supports the VP of Operations for Source-to-Home, Senior Director of Hospital Operations, Director of Community Medicine Operations, Senior Director of Facilities & Supply Chain Operations, and VP of Information Technology. The Operations Coordinator manages scheduling, documentation, communication, and coordination of cross-departmental activities. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing priorities in a fast-paced, mission-driven environment.  


Core Responsibilities

  • Administrative and scheduling support including managing calendars, schedule and prepare for meetings, and coordinate logistics for leaders and cross-functional teams such as travel arrangements, catering, and technology needs
  • Assist with planning and logistics for all-staff trainings, meetings, and special events
  • In a timely and accurate fashion, draft and edit presentations, reports, and spreadsheets as directed, including assistance with preparation of board or leadership materials
  • Support implementation and tracking of key operational initiatives and projects and follow up on deliverables
  • Help coordinate cross-functional efforts between Veterinary Hospital, Shelter, Community Medicine and facility operations
  • Assist with vendor coordination, purchase requests, and invoice processing
  • Maintain up-to-date records of department budgets and expenses in collaboration with Finance
  • Help onboard new staff within the operations team by coordinating schedules, materials and access requests.
Requirements

Requirements:

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred
  • 2+ years of administrative experience supporting mid-level or senior managers, preferably in a complex or multi-department organization
  • Experience managing calendars, coordinating meetings, and preparing documentation
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and cloud-based collaboration tools
  • Strong attention to detail, accuracy, and follow-through
  • Ability to handle confidential information with professionalism and discretion

Salary and Benefits:

The starting salary for this position depends on the depth and breadth of experience. The expected range is $28.50 - $31.00 per hour.  Regular, full-time positions are eligible for a benefits package including:
