Vretta is looking for an Operations Coordinator who will support the end-to-end assessment lifecycle by coordinating operational tasks, resources, and communication across teams to ensure accuracy, efficiency, and on-time delivery. This role maintains and improves standard operating procedures, tracks progress and KPIs, manages complex technical escalations, and facilitates cross-team alignment through meetings and reporting. Acting as a central operational link between Product, Project Management, and Customer Success, the Operations Coordinator ensures transparency, smooth knowledge transfer, and effective execution across multiple projects in a fast-paced educational technology environment.

Responsibilities

  • Coordinate operational tasks supporting the full assessment lifecycle, ensuring all steps are completed accurately and on schedule.

  • Maintain and update Standard Operating Procedures (SOPs) for internal workflows to ensure consistency across the operational framework.

  • Facilitate cross-team resource allocations, ensuring team members are assigned effectively across various projects and tasks.

  • Track progress across multiple teams and projects to identify bottlenecks, ensuring operational commitments stay on track.

  • Support knowledge transfer and post-allocation training to ensure team members are fully equipped to handle new assignments.

  • Manage Level 3 technical escalations by gathering requirements and coordinating with the necessary internal teams for resolution.

  • Maintain a deep understanding of internal products, projects, and operational workflows to act as a central resource for the team.

  • Run internal standup meetings and cross-allocation meetings to streamline communication and maintain alignment.

  • Act as the operational link between Product, Project Management, and Customer Success teams to coordinate priorities and information flow.

  • Execute operational and client reporting, ensuring all data is accurate, transparent, and delivered on time.

  • Monitor operational KPIs and performance data to provide regular insights and status updates to the Head of Operations.

  • Support internal and external communication between multiple stakeholders to ensure transparency and timely project updates.

Requirements

  • Proven experience in operations, customer success, or project management roles, ideally in SaaS, EdTech, or a similar client-centric environment.

  • Strong understanding of customer support workflows, operational metrics, and process management.

  • Demonstrated ability to create, optimize, and enforce SOPs across teams.

  • Exceptional organizational skills with a focus on accuracy, consistency, and accountability.

  • Strong communication skills, with the ability to influence across teams and manage competing priorities.

  • Analytical mindset with experience interpreting operational and client data to drive decisions.

  • Familiarity with CRM, ticketing, and reporting systems.

  • Passion for education and a drive to deliver measurable impact through operational excellence.
