Operations and Systems Coordinator
Ghent Wood Products IncPOSITION OVERVIEW Ghent Wood Products is seeking a detail-oriented Operations & Systems Coordinator to clean up our current pen-and-paper system, drive the growth of our day-to-day business, and help us rapidly reach our goal of scaling a multi-million dollar e-commerce operation. We have built out a digital backend platform for purchasing, inventory tracking, receiving, production logging,and e-commerce fulfillment. We need a tech-savvy operator to step in, take complete ownership of data entry and workflow execution, and keep our business operations moving seamlessly between the yard, sales, and online orders. CORE RESPONSIBILITIES Purchasing & Vendor Entry: Input vendor purchase orders (POs) and cross-reference incoming receiving tickets against POs in real time as lumber arrives at the yard/mill. Inventory Control & Sync: Maintain live inventory accuracy across all channels, ensuring physical stock matches our system, QuickBooks walk-in sales, and our e-commerce site. Production Logging: Log daily mill/production runs so raw stock auto-adjusts as materials are processed into finished goods. Order Operations & Fulfillment: Process incoming web orders, handle customer order inquiries, and coordinate logistics/shipping (including LTL freight booking). Cross-Department Support: Serve as the central point of contact between yard management, sales reps, and backend software workflows. KEY QUALIFICATIONS & CAPABILITIES ERP / Software Proficiency: Prior experience working with inventory management systems, ERP software, or QuickBooks in a manufacturing, building materials, or distribution environment. High Data Accuracy: Meticulous attention to detail with a low error rate when entering POs, receiving counts, and item SKUs. Logistics & Freight Familiarity: Understanding of order fulfillment workflows and basic freight logistics (LTL shipping booking and scheduling). Independent Problem Solver: Ability to learn a structured software platform quickly and run daily operations independently without needing step-by-step oversight. Strong Communication: Clear verbal and written communication skills to coordinate between yard crew, executive leadership, and web customers Pay: $25.00 - $30.00 per hour Expected hours: 40.0 per week Benefits: 401(k) matching Dental insurance Health insurance Paid parental leave Work Location: In person
