About the Role BrandGuard Vents is seeking an organized, proactive, and customer-focused Operations & Customer Support Coordinator to help manage the day-to-day flow of orders, customers, leads, fulfillment, and administrative operations across our growing business. This hands-on role connects our customers, Sales team, warehouse, fulfillment partners, vendors, and e-commerce channels. You will help ensure orders move smoothly from receipt through fulfillment and invoicing, customers receive excellent support, and internal operational information stays accurate and organized. The ideal candidate enjoys solving problems, helping people, working across multiple systems, and taking ownership of tasks from start to finish. Key ResponsibilitiesCustomer & Sales Support Answer incoming customer calls and provide friendly, professional assistance with routine product and order questions. Collect information from customers seeking installation support and enter incoming leads into QuickBooks and the company lead tracker. Route phone and web leads to the appropriate installer or internal contact, including homeowner, contractor, distributor, architect, grant, and e-commerce leads. Support customers and Sales with tracking requests, address changes, freight and delivery issues, shipment discrepancies, damages, shortages, and other post-order needs. Process new phone orders and customer payments. Order & Fulfillment Operations Process orders from QuickBooks through SOS Inventory for warehouse or third-party fulfillment. Coordinate orders fulfilled through Flowspace/3PL. Manage Shopify orders from initial processing through tracking, invoicing, and closeout. Process Amazon FBM orders and complete end-of-day invoicing. Monitor inventory across the BrandGuard warehouse, 3PL, and one-off inventory locations. Home Depot Order Support Manage Home Depot online and Special Order processing. Work with Home Depot platforms including Supplier Hub/IDM, Sterling Web, FDC fulfillment, and Quote Center. Provide pricing support for Home Depot Pro Desk associates and help ensure product quantity, stock, and pricing information is accurate. Communicate with store Pro Desk associates to facilitate standard and custom project orders for professional contractors. Vendor & Administrative Operations Process vendor purchase orders received through the company INFO inbox, confirming receipt, pricing, freight, and lead times. Maintain company spreadsheets, including price quotes, grant leads, lead tracking, contact lists, and specification sheets. Perform monthly QuickBooks estimate cleanup and request custom vent pricing. Create Certificates of Installation, upload them to customer invoices, and send completed certificates to customers. Prepare Letters of Intent for insurance companies using established templates and make minor updates to product specification sheets. Reporting & Business Support Create and maintain internal resources and data-visualization tools that improve company operations. Maintain installer territory mapping and update lead maps with installation addresses and assigned installers. Create performance reporting, including accepted-estimate conversion graphs by installer. E-Commerce & Marketing Support Photograph and edit product images for e-commerce platforms such as Home Depot and Shopify. Assist Marketing with e-commerce graphics and maintain the company digital asset library. Create and update BrandGuard Vents presentations for trade shows, external presentations, and internal use.
